Managing the Shift Allocation List in uKnowva HRMS

Effectively managing shift allocations is essential for ensuring that employees are scheduled appropriately according to their roles and availability. 

This tutorial guides HR professionals and system administrators through the process of managing the Shift Allocation List within uKnowva HRMS.

Users will learn how to add new shift allocations, edit or delete existing ones, and filter the list for better visibility. Additionally, this guide covers the import and export functionalities, allowing for easy data management and reporting.

1.  Adding a new shift allocation entry

To add a new shift allocation, go to the Shift Allocation List page by clicking on the HR Manager section in the main menu and selecting Shift Allocation List.

Click the + button to Add New Shift Allocation. 

A form will appear for you to enter the details of the new shift allocation. Fill in the required fields, like user ID, shift name, from and to timings, etc.

Once you have entered all the necessary information, click Save to add the new shift allocation to the list. If you decide to cancel the addition, click the Cancel button to discard the changes.

2. Deleting multiple shift allocation entries

To delete multiple shift allocation entries at once, locate the shift allocation entries you wish to delete in the list. 

Check the checkbox on the left side of the username for each entry you want to remove. After selecting the entries, click the Bin icon located at the top right of the page. 

A confirmation prompt will appear, asking if you are sure you want to delete the selected shift allocation entries.

Click Yes to confirm the deletion, or click No if you decide to cancel the action. Once confirmed, the selected shift allocation entries will be permanently removed from the Shift Allocation List.

3. Deleting individual shift allocation entries

To delete an individual shift allocation entry, find the specific shift allocation entry you wish to delete from the list. Click the bin button for that entry under the Action column.

A confirmation prompt will appear, asking if you are sure you want to delete this shift allocation entry. Click Yes to confirm the deletion, or click No if you decide to cancel the action.

Once confirmed, the selected shift allocation entry will be permanently removed from the Shift Allocation List.

4. Importing shift allocation list details

To import shift allocation details, click the Import button. Find it at the top side of the page.

A new window will open, prompting you to upload a file containing the shift allocation details.

Click on the Download Important Template File button if you wish to templatise the file at your system first with the latest details. Then, once your file is ready, click on the Choose Your File or Browse button to locate and select the file from your device. 

Upload it successfully by clicking the Upload File button at the bottom of this window.

A confirmation message will appear once the import is successful, and the newly added shift allocations will be visible in the Shift Allocation List.

5. Exporting shift allocation list

At the top right corner of the page, click the Export button. A file will be generated, and will be downloaded.

The exported file will contain all relevant details, including Employee Name, Shift Type, Start Time, End Time, and Date.

6. Filtering shift allocation pageview

Find and click the Funnel icon right next to the Export button on the Shift Allocation List page to filter the pageview and find specific shift allocation entries.  

You can filter the list by various criteria, such as Employee Name, Shift Type, or Date. Enter the relevant information in the provided fields.

After entering your filter criteria, click the Search button to update the list based on your selections. The page will refresh, displaying only the shift allocations that match your filter criteria.

If you wish to reset the filter and view all shift allocations again, click the Reset button next to the filter options.

7. Viewing shift allocation details

To view the details of a specific shift allocation, locate the shift allocation entry you wish to view in the list. Click on the eye icon under the Action column

A new window will appear, displaying all relevant details for the selected shift allocation, including Employee Name, Shift Type, etc.  

Once you have finished reviewing the details, click the x button to return to the Shift Allocation List.

8. Editing existing shift allocation entry details

To edit an existing shift allocation entry, locate the shift allocation entry you wish to edit in the list. Click the Pen icon under the action column for that entry.

A new form will open, filled with the current details of the shift allocation, including Employee Name, Shift Type, Start Time, End Time, and Date.

Make the necessary changes to the fields as required. After updating the details, review the information for accuracy.

Once you have made all the changes, click the Save button to apply the updates. If you wish to discard the changes, click the Cancel button to return to the Shift Allocation List without saving.

The Shift Allocation List in uKnowva HRMS simplifies the process of managing employee shifts, ensuring efficient scheduling and smooth workforce management.
