Introduction
Managing shift schedules manually for a large workforce can be time-consuming and prone to human errors.
That’s why uKnowva HRMS provides the option to import shift allocation details in bulk using a simple upload feature.
This functionality helps HR professionals streamline scheduling, avoid inconsistencies, and save valuable time by reducing manual data entry.
Whether you’re setting up shifts for the first time or updating multiple employee schedules, importing shift data simplifies the entire process with just a few clicks.
In this article, we’ll walk you through the steps to import shift allocation lists accurately in uKnowva HRMS.
Step 1: Accessing the Shift Allocation Interface
To begin the import process, first log in to your uKnowva HRMS instance and navigate to the side navigation panel.
From here, click on the HR Manager menu. Once the menu expands, select the Shift Allocation sub-menu.
This will open a new interface that displays the list of employees and their current shift allocations. This is the primary dashboard from where you can manage shifts individually or import them in bulk.
Step 2: Importing the Shift Allocation List
Once you are on the Shift Allocation page, locate the Import button present above the employee list.
Click on this button to open the import window.
A new pop-up will appear, prompting you to upload a file that contains the shift allocation details. It has two tabbed options: Basic Import and Legacy Import.
In the Basic import, you need to enter the username and datewise shift name. By entering shift name datewise, you can easily allocate different shifts to the employees.
Legacy import, on the other hand, provides a more straightforward format; you need to provide a username and shift start and end dates. Select the required format as needed.
If you do not have a ready file or want to ensure your file follows the correct format, click on the Download Important Template File button.
This will download a sample file to your system, which you can fill out using your shift data. After filling in all the required information in the template, save the file to your system.
Now, return to the import window and click on the Choose Your File or Browse button to locate and select the filled file from your device.
Once the file is selected, click on the Upload File button at the bottom of the pop-up. The system will process the data and display a confirmation message once the upload is successful.
After successfully uploading the shift allocation file, the updated data will immediately reflect in the main Shift Allocation List.
