Whether you need to schedule a single interview or multiple rounds, the system allows you to configure interview details, choose a location, and even send out invitations to the candidate with just a few clicks.
This guide will walk you through the complete process of scheduling interviews using the Recruitment module in uKnowva HRMS.
Step 1: Access the My Applicants Section
Start by logging in to your uKnowva HRMS account and navigating to the Recruitment menu located in the side navigation panel. Under this section, select the My Applicants sub-menu.
This will open a new page that displays a list of all applicants who have applied for open job positions.
The table includes important columns such as Applicant Details, Qualification, Experience, Job Title, Talent Fit Score, Expected Salary (CTC), Application Date, and Status.
Step 2: Locate the Applicant and Change Their Status to ‘Interview Scheduled’
Scroll through the list or use the search bar to find the applicant you wish to schedule an interview for.
Once located, go to the Status column next to their name. Click on the drop-down menu and select Interview Scheduled as the updated status for that applicant.
This action will trigger a pop-up where you can proceed to define the interview schedule.

Step 3: Enter Interview Details in the Pop-Up
After selecting the new status, a pop-up window will appear prompting you to enter the interview schedule details.
Begin by selecting the Interviewer’s name, followed by the Date of the interview. Next, specify the Duration of the interview in minutes.
For the Location, you have multiple options such as Google Meet, Microsoft Teams, or Face-to-Face (F2F).
You can select the appropriate method depending on the type of interview you’re conducting.
If you need to schedule more than one interview round for the same applicant, click on the ‘+’ icon to add another row.
Each row allows you to define a new interview session. If a row needs to be removed, simply click the bin icon at the end of that particular row.
Before saving, make sure to toggle the Send Invite to Candidate option to Yes if you want the applicant to receive a calendar invitation via email.
Now you can edit the email template as needed for sending it to the candidates.
Once all required fields are filled in and verified, click on the Save button to confirm and schedule the interview.
If you decide not to proceed, you can click on Cancel to discard the changes.
