Step 1: Open the My Applicants Page in Recruitment Module
To begin, log in to your uKnowva HRMS account and navigate to the Recruitment menu from the left-hand side navigation panel. From the drop-down, select the My Applicants sub-menu.
This action will open a dedicated interface that displays a list of all the applicants currently associated with various job openings in your organization.
The list is categorized under various headings such as Applicant Details, Action, Qualification, Experience, Job Title, Talent Fit Score, Expected Salary (CTC), Date of Application, and, most importantly, the Status column. This is the section where you'll perform your status updates.
Step 2: Update the Applicant Status from the List View
Once you're on the My Applicants page, locate the candidate whose status you wish to update.
You can scroll through the list manually or use the search bar at the top to quickly find the specific applicant.
In the Status column next to the candidate's name, you’ll find a drop-down menu.
Click on this drop-down to select the appropriate new status for the applicant.
uKnowva HRMS provides several predefined options such as Screened, Interview Scheduled, Interviewed, Shortlisted, Approved/Placed, Rejected, and On Hold.
Simply choose the status that reflects the current stage of that applicant's hiring journey, and the system will save the changes instantly.
Step 3: Change the Status from the Applicant’s Profile
Alternatively, you can update the applicant's status by accessing their individual profile.
From the My Applicants list, click on the applicant's name. This opens a detailed view of their application, where all their submitted information is displayed.
Locate the Offer Status field.
Click on the drop-down present under this field and select the appropriate new status from the list.
The system will immediately apply this change, reflecting the applicant’s latest progress within your recruitment funnel.
Step 4: Use the Pipeline (Kanban Board) View
For a more visual and intuitive way to manage applicant statuses, you can use the Pipeline View, which functions like a Kanban board.
Above the list, you can find a drop-down, and from that select the pipeline view.
This board displays applicants in columns that represent different stages of the recruitment process such as New, Screened, Interview Scheduled, Interviewed, Shortlisted, Approved/Placed, Rejected, and On Hold.
To change the status, simply drag and drop the applicant’s card from one column to another.
This view allows recruiters to quickly identify bottlenecks and keep track of where each candidate stands at a glance.
