Introduction
Recruitment teams often need to quickly add candidate profiles to their internal databases to ensure smooth hiring and documentation processes.
uKnowva HRMS simplifies this process through its Talent Pool feature, where HR professionals can easily add individual candidates or import candidate data in bulk.
This functionality helps streamline hiring workflows, improve candidate tracking, and reduce manual data entry errors.
Whether you’re onboarding one applicant or handling a volume of CVs, uKnowva HRMS offers flexible tools to meet your hiring demands.
In this guide, we’ll walk you through how to add both a single candidate and multiple candidates to the Talent Pool in uKnowva HRMS.
Step 1: Navigate to the Talent Pool
To begin, log in to your uKnowva HRMS instance. From the left-side navigation panel, go to the Recruitment menu and click on the Talent Pool sub-menu.
This will open a new interface displaying the existing list of candidates stored in your system.
Step 2: Add a Single Candidate
To add a new candidate, click on the person icon located above the candidate list.
This action opens a detailed interface with two tabs: Basic Info and Profile Info.
These tabs are designed to help you capture and organize candidate data with clarity and ease.
The first tab, Basic Info, enables you to upload the candidate’s resume by clicking on the “Drag your CV/Resume” section.
When the resume is uploaded, uKnowva’s built-in parser will automatically extract key information from the document, saving you time on manual entry.
You can then review and update the automatically filled fields or manually enter details such as the candidate’s name, mobile number, email address, job source (e.g., LinkedIn or job portal), cover note, current company, designation, current CTC, notice period, educational category, qualifications, and relevant skills.
Once the basic details are complete, move to the Profile Info tab to enter additional information under structured sections.
In the Basic Information section, you can input details such as date of birth and blood group.
Under Personal Information, fields include the candidate’s father’s name, gender, place of birth, Aadhaar number, PAN number, and more.
The Contact Information section allows you to provide the candidate’s phone number, address, country, state, pin code, and emergency contact details.
Following this, the Educational Information section includes fields for graduation and post-graduation details, year of passing, and other qualifications.
In the Bank / PF Account Information section, you can enter the candidate’s bank name, account number, and IFSC code. Lastly, the Documents section allows you to upload important verification documents such as Aadhaar card, PAN card, and educational certificates.
At the bottom of the form, you’ll find the following action buttons: Cancel, Clear Draft, Save As Draft, or Save.
Click Save once you have entered and reviewed all information to successfully add the candidate to your Talent Pool.
Step 3: Bulk Import Candidates
If you need to add multiple candidates at once, return to the Talent Pool page and click on the Import Bulk Candidate button.
This will take you to the bulk import interface, where you can choose between various import methods like CV Parser, CSV File Import, or Manual Import.
For a detailed, step-by-step explanation of the bulk upload process, you can refer to the article here: How to Bulk Upload Candidates in Talent Pool.
