How to Import Candidates in uKnowva HRMS?

Introduction

Recruitment often involves managing a large number of candidate profiles, resumes, and related data.

Manually adding every candidate can be time-consuming and may increase the risk of errors.

uKnowva HRMS makes this process simple by providing different options to import candidates in bulk or individually.

You can import candidates using the CV Parser, by uploading a CSV file, or through manual import.

Each method has been designed to suit different recruitment needs—whether you want to extract structured data from resumes, upload pre-organized data from spreadsheets, or manually enter candidate details.

In this article, we will walk you through the complete process of importing candidates in uKnowva HRMS.

Step 1: Accessing the Import Option

To start the process, navigate to the Recruitment menu from the side navigation panel and select the Offer Letters sub-menu.

A new page will open displaying the list of all candidates with details such as Candidate Name, Action, Candidate Email, Job Title, Expected, Source, DOJ, Offer Letter, Created By, Status, and Created On.

Above this list, you will see the Import button.

Clicking on this button opens a new interface with three tabs—CV Parser, Import CSV File, and Manual Import—each offering a different way to add candidates into the system.

Step 2: Importing Candidates via CV Parser

The first method available is the CV Parser. This option allows you to upload a .zip file that contains multiple resumes in .pdf or .docx format.

It is important to note that no other file formats are supported here.

Within this tab, you need to select the Source, such as LinkedIn or Facebook, from the drop-down menu and also select the Job Title from another drop-down.

Once done, you can drag and drop your .zip file into the designated area.

After uploading, uKnowva will parse the resumes, extract structured data, and auto-populate candidate profiles.

The results are displayed in a table showing Batch Title, Source, Job Title, Uploaded CV(s), Processing Done, Candidate Creation or Updation, and the timestamp of the upload.

This method is efficient for recruiters dealing with multiple resumes and looking for quick, structured data entry.

Step 3: Importing Candidates via CSV File

The second method is through the Import CSV File tab.

This approach is particularly useful if you already maintain candidate data in spreadsheets.

Here, you can upload a .zip file that contains a properly formatted CSV file along with candidate resumes.

The CSV must include mandatory fields such as Resume/CV File Name, Candidate Name, Email, and Mobile Number, while additional fields can be added as per your requirements.

On this tab, you will also find a Sample ZIP File available for download, which can serve as a guide for preparing your own file.

Once you prepare the file, select the Source and Job Title from the drop-down menus.

Then upload the .zip file. uKnowva HRMS will read the CSV file, match the resumes, and automatically create or update candidate profiles in the system.

This method ensures accuracy and saves time when working with structured data.

Step 4: Manually Importing Candidates

The third option is the Manual Import tab, designed for cases where you need to add candidate details without having resumes or structured files ready.

Begin by selecting the Source and Job Title from the drop-down menus. You can then proceed to fill in candidate information across multiple sections.

In the Basic Information section, upload the resume if available and enter details like Name, Contact Number, and Email.

In the Educational Information section, specify the category, education, and qualifications.

The Work Information section allows you to add details about skills, work experience, current company, designation, and CTC.

In the Location Information section, you can provide the current city, preferred city, and a cover note if required.

If you want to add multiple candidates at once, click the + Add New button, and if you need to delete an entry, use the bin icon next to it.

You can also check the Skip Existing Candidates option to prevent duplicate entries.

Once all details are reviewed, click Save to import the data or Cancel to discard the entries.
