In uKnowva HRMS, the Designation Master allows you to manage all existing designations and easily add new ones to align with your growing organizational needs.

Whether you're expanding a department or refining role clarity, adding a new designation ensures your structure remains efficient and scalable.

This article guides you through the complete process of adding a new designation in uKnowva HRMS, including how to fill in detailed role data, define compensation, and even use AI-based assistance for faster input.

Step 1: Access the Designation Master Page

To begin, log in to your uKnowva HRMS account and navigate to the Designation Master page.

Once you're on the Designation Master page, you will see a table listing existing designations under headers like Designation Name, Action, Status, Designation Code, and Reports To.

To initiate the creation of a new designation, click on the “+” icon located above the list.

Step 2: Fill Out Basic Designation Information

Clicking the plus icon opens a form where you can start by entering essential details like the Designation Name.

Select the appropriate Designation Category from the dropdown menu and specify any relevant skills required for the role.

Under the Basic tab, input the Designation Code, Notice Period in Days, and Probation Period in Days. You can also define reporting relationships by selecting a role from the "Reports To" dropdown menu.

This helps establish the reporting hierarchy for the designation.

Step 3: Define Job Responsibilities and Compensation Structure

Switch to the Job Details tab to define the Roles and Responsibilities associated with the designation.

This section includes rich-text editors that let you describe the day-to-day duties and performance expectations in detail.

Then, go to the Salary Details tab, where you can either choose an existing salary structure or manually enter figures. Input the Yearly CTC and Monthly CTC, and the system will automatically calculate the Yearly and Monthly Gross salaries.

In the Earnings section, select the appropriate earning head from the drop-down and enter either a formula or a fixed amount.

You can mark this field as a variable using a checkbox and also indicate whether it’s non-taxable by choosing “Yes” or “No.”

Decide if the earnings should be displayed in the payslip and whether they should be calculated based on attendance. You can add more rows using the "+" button or delete them using the bin icon.

Similarly, in the Deductions section, select a deduction head, enter the amount or formula, and configure its variability, payslip visibility, and attendance-based calculation.

Step 4: Add Interview and Evaluation Criteria

Move to the Interview Assessment tab, where you can add interview questions, choose categories from the drop-down, and define which user groups the questions are applicable to. You can continue adding rows using the "+" icon or remove them using the bin icon.

Next, in the Probation Evaluation tab, define evaluation attributes, select categories, and assign the user groups that should be involved in evaluating employees during the probation period.

This helps set measurable and consistent evaluation criteria.

Step 5: Set KRAs and Competencies

In the KRA Template section, enter a Template Name and define the accessibility settings. If you choose “Only Selected,” you must specify users in the “Share With” field.

Begin adding KRAs by defining their Title, selecting a Type from the drop-down, and entering the Reasoning and Weightage.

Use the "+" icon to add more KRAs or delete them using the bin icon. Ensure the total weightage sums up to 100%.

Then, go to the Competencies section where you can define additional competencies for the role.

Add a Title, select a Type, and specify Reasoning and Weightage.

The system requires that the combined weightage for competencies also equals 100%. Add or delete rows as necessary using the "+" and bin icons.

Step 6: Use AI-Based Auto Suggestion (Optional)

If you want to automate the input process, uKnowva HRMS provides an AI Suggest option.

After entering the Designation Name and selecting the Category, click on the AI Suggest button.

The system will then automatically generate inputs for the Job Details, Interview Assessment, Probation Evaluation, and KRA Template tabs.

This can significantly speed up the setup process, especially if you are entering multiple designations.

Step 7: Save or Cancel the New Designation

Once you’ve completed all the required fields across the various tabs, click on the Save button to add the new designation to the list.

If at any point you decide not to proceed, click on the Cancel button to discard all the changes and return to the Designation Master page.
