This is useful when your organization allows employees to take a limited number of leaves in advance or permits their leave balance to go below zero.
In this guide, we will walk through the steps to enable negative leave balance for an existing leave type in uKnowva HRMS.
Step 1: Access the Leave Rules
To begin, go to the Leaves menu from the left-side navigation panel. From the available options, select Leave Rules.

This will open the Leave Rules page, where you can view the leave types configured in your system.

If you want to enable negative leave balance for an existing leave type, locate the required leave rule from the list. You can either scroll through the available leave types or enter the leave type name in the search bar and click on the Search button to find it quickly.

Step 2: Open the Leave Type Configuration

The leave type configuration will open in edit mode. Before changing the negative balance settings, review the existing configuration and make any other required changes if necessary.

Scroll down until you find the Show Advanced Leave Settings field. This setting controls whether additional leave configuration options are displayed.
Toggle Show Advanced Leave Settings to Yes. Once enabled, uKnowva HRMS will display additional settings that allow you to control advanced leave behavior.

Step 3: Enable Negative Leave Balance
Within the advanced leave settings, locate the Allow Negative Leave Balance field. Toggle this option to Yes to allow employees to use leave even when their available balance is insufficient.

After enabling this option, locate the Maximum Allowed Negative Leaves field. Enter the maximum number of leaves that an employee can use beyond their available balance. This value acts as the limit for the negative leave balance and helps ensure that employees cannot exceed the organization's defined allowance.
For example, if an employee has 0 available leaves and you configure the maximum allowed negative leaves as 5, the employee can use up to 5 additional leaves, allowing the leave balance to go down to -5.

Review the configured value carefully to ensure that it matches your organization's leave policy.
Step 4: Save the Leave Configuration
Once you have enabled Allow Negative Leave Balance and entered the required Maximum Allowed Negative Leaves, review the other leave settings to ensure that everything is configured correctly.
After reviewing the configuration, click on the Save button to apply the changes. The selected leave type will now allow a negative balance according to the limit you configured.
