Step 1: Access the uKnowva Configuration Panel

Begin by logging into your uKnowva account. At the top-right corner of the page, click on your profile icon

From the drop-down list of options, select uKnowva Configuration . This action will open the main configuration dashboard.

From the side menu on the configuration page, click on Plugin Manager

The system will display a new page listing all available plugins in your uKnowva instance. 

You can scroll through the list or use the search bar to quickly locate the Short Attendance Intimation plugin.

You can also use the Exclude Users option to select individual employees who should not be subject to leave deduction in case of short attendance. This is helpful for exceptional cases or special roles.

Step 3: Set Leave Deduction Rules and Working Hour Criteria

After defining inclusion and exclusion criteria, configure how the system should evaluate and process short attendance.

In the Leave Deduction Interval (in days) field, specify the number of days after which the employee’s leave should be deducted if they have worked fewer hours than the defined minimum working hours.

By default, the system considers a two-day interval, but you can modify it according to your organizational policy.

Next, define the Minimum Working Hours to Consider Full Day

Enter the minimum number of working hours required for an employee’s attendance to be counted as a full day. If an employee works less than this threshold, the plugin will trigger the configured action.

In the Deduct Leave or Not option, choose whether the system should automatically deduct leave or only send an intimation. If you select “Yes,” the system will deduct leave according to your defined configuration. If you select “No,” the system will only notify the employee without deducting any leave.

Step 4: Select Leave Types and Additional Conditions

To ensure accurate leave deduction, configure the leave types carefully.

In the Select Leave Type to Deduct field, choose the specific paid leave category from which leave should be deducted when short attendance occurs.

In the Select Unpaid Leave Type field, select the unpaid leave category. This ensures that if the employee does not have sufficient paid leave balance, the system will deduct leave from the unpaid leave category instead.

Next, define the Number of Leaves to Deduct in cases where the short attendance rule is triggered. This ensures clarity and consistency in deduction calculations.

You can also configure the Additional Day Not to Run On option. Use this field to select specific days when the plugin should not run, apart from regular weekly offs. For example, if Saturday is considered a half-day in your organization, you can exclude it from the plugin’s execution.

Step 5: Save the Configuration

After completing all the required settings, click on the Save button to apply and activate the configuration. If you do not wish to proceed with the changes, click on the Close button to discard the modifications.

Once saved, the plugin will function according to the rules you have defined, ensuring automated and policy-driven handling of short attendance cases.
