Step 1: Accessing the Reports Module
To begin, navigate to the left-side menu of your uKnowva instance and click on the “Reports” menu.
This action will direct you to the Reports module, where you can manage, edit, and create new reports.
Once inside, in the top right area of the screen, you can find the + Add new report button. Click on it to open the interface where you can customize your report.
Step 2: Creating a New Report and selecting fields
Once you click on the + Add new report page, a new interface will open, and you can create your new report.
There is a list of views present; views are pre-defined data structures you’ve created earlier using SQL queries or through the report view interface.
To begin your report setup, search for the relevant view using the search field and click on the “+” icon next to it to reveal the fields of the view.
Then select the checkboxes of the fields that you want in your report. This action will add those fields in your custom report.
Step 3: Filling Report Details
You’ll need to provide a Title, Report Description, and choose a Report Category. Additionally, specify the Filter By field to allow dynamic filtering when the report is executed.
This is especially useful when you want to segment data by parameters such as location, department, or date.
You also have the option to control access by selecting specific Access Groups and Exclude User Groups. This ensures that only authorized users can view or modify the report.
Step 4: Configuring Advanced Settings
For more granular control, click on the “Settings” button to reveal advanced configuration options.
Here, you can group the data using the Group By field, decrypt specific columns if needed, or define a Custom Where Clause for further filtering.

If you want your report to run on a scheduled basis, toggle the Schedule Report button to “Yes.”

A pop-up window will appear here for you to enter the date, day, and time of the reminder, along with details like sender field name, email IDs, subject, and mail content.
Other toggles, such as Pin This Report to Most Used or Send in CSV Format via Email help improve accessibility and usability of the report within the system.
Step 5: Submitting the Report
Once you’ve reviewed all the details and completed the configuration, scroll to the bottom of the interface and click on the Submit button.
The system will now save your custom report, and it will be available for execution based on the filters, views, and schedules you've configured.
