Editing & Deleting Existing Reports in uKnowva HRMS

Introduction

uKnowva HRMS empowers users with a dynamic Reports module that not only supports data-driven decision-making but also offers the flexibility to update and manage report configurations as business needs evolve.

Whether you need to revise a report’s content, adjust its filtering logic, or permanently delete obsolete reports, the system provides a straightforward way to do so.

This article walks you through the process of editing and deleting existing reports from your uKnowva HRMS instance, making it easier for HR professionals and admins to maintain up-to-date and relevant reports.

Step 1: Accessing the Reports Page

To begin managing your reports, navigate to the left-side panel of your uKnowva HRMS instance and click on the Reports menu.

This opens the Reports module, where various data reports are configured and accessible.

Scroll down the interface until you reach the section titled All Reports.

This section lists all available reports that have been configured within your instance.

Step 2: Deleting a report

If you no longer require the report and wish to remove it permanently, locate the desired report, hover over it and click on the bin icon to delete the report.

An alert will appear, confirming your action.

Please note that the delete option might only be available to super admins.

If you don't see the bin icon, it means your user role doesn’t have the permission to delete reports.

Step 3: Editing the Report Details

Once you locate the desired report to edit, hover over it and click on the pen icon; a new page will appear, pre-filled with the existing details of the selected report.

 

These include the Title, Report Description, Report Category, Filter By, Access Group, and Exclude User Group. Begin by updating or modifying any of these fields as needed.

To access more detailed configurations, click the Settings button.

This action reveals additional options such as Group By, Decrypt Columns, and Custom Where Clause, allowing you to further refine your report logic and display.

If you’re a developer, you can also initiate more advanced configurations such as customizing the PDF layout, filtering using advanced data modelling, or setting up scheduled tasks using CRON jobs.

There are also toggle switches available that enable or disable functionalities such as Deploy as API, Schedule Report, Send individuals, Send report in CSV format via email, and Pin this report to the most used.

Adjust these toggles according to how you want the report to behave or appear within your system.

Step 4: Updating the Report View

Just below the settings report view section is displayed. This area shows all the data fields or columns currently included in the report.

If you want to remove any column from the report, simply click the “x” next to the column name to exclude it.

Similarly, if you want to add more fields or columns, navigate to the View directory located just below this section.

Click on the + icon to reveal all the columns of the field, and to add any field to the view, click on the checkbox in the relevant fields, and they will be instantly added to the report preview above.

The system updates the view in real time, allowing you to visualize the structure of your final report as you make changes.

Once you are satisfied with all the updates and modifications, scroll to the top or bottom of the page and click on the Submit button.

This action will save your changes and update the report in your system.
