Below are the steps to schedule a report over email, whether it’s an existing report or a new one.
Step 1: Access the Reports Interface
A. Open the Reports Menu:
Navigate to the Left Main Menu and click on the Reports menu.
B. View the Reports Page:
After clicking Reports, a new interface will appear, showcasing all the available reports.
Step 2: Choose or Create a Report:
Select an existing report from the list if you want to use it.
To create a new report, click the "+ Add New Report" button located at the top of the page.
You can also use the Search field to quickly locate a specific report by its name.
Step 3: Schedule an Existing Report
If you wish to schedule an already existing report, follow these steps:
A. Select the Report:
Click on the desired report from the list to open its details page.
B. Edit the Report:
At the top of the report’s page, click the Edit Report option.
C. Access the Settings Menu:
After entering edit mode, open the Settings menu to adjust the scheduling options.
D. Enable Scheduling:
Locate the option: Schedule Report. Toggle it to Yes to schedule it automatically from the system. Toggle it back to No if you do not wish to schedule this report at the moment.
Step 4: Fill in the Scheduling Details
When you toggle the Schedule Report? option to Yes, a pop-up window will appear. Fill in the following details:
A. Schedule Report:
Select the specific day and month when the report should be sent.
B. Select Time:
Choose the time at which the report should be delivered.
C. Add More Users:
Enter the names or email addresses of any additional recipients.
D. Select How to Send Report:
From the dropdown menu, select Email as the delivery method.
(Note: Another option, SFTP, is available, but for email delivery, choose Email.)
E. Add More Emails:
Enter the names or email addresses of any additional recipients. The Add More Emails field allows you to add the email addresses of recipients who are not part of your organization.
F. Subject:
Enter the subject line for the report email. For example: Your scheduled report - Appraisal Ratings Report.
G. Message:
Write a message for the recipients. You can use plain text or include HTML for formatting.
Once you have filled in all the details for scheduling, click the Save button to confirm the schedule.
Step 5: Create and Schedule a New Report
If you are creating a new report, follow these steps:
A.Add a New Report:
Click on the + Add New Report button and fill in all the necessary details to create your new report, such as the report type, data fields, filters, and any other relevant parameters required for generating the report.
B. Define the Report View
To define the report view, begin by selecting the required data columns, filters, and any other parameters for the report.
Ensure all relevant fields are included as per your reporting needs.
C. After configuring the report view, click on the Submit button to create the report.
D. Once the report is created, locate it in the list of reports and click on it to edit the report.
E. Click on the Edit Report button.
F. Open the Settings Menu:
Once the report is created, click on the Settings menu.
G. Enable Scheduling:
Locate the Schedule Report? toggle button and switch it to Yes.
H. Set Scheduling Options:
Follow the same steps mentioned in Step 4 to configure the schedule for your new report.
