Introduction
Rolling out appraisals is an important part of the performance management process, as it ensures that all employees are evaluated in a structured and transparent manner.
In uKnowva HRMS, this process is streamlined so HR managers and reporting heads can easily initiate appraisal cycles, assign them to employees, and track the status of ratings throughout the process.
This feature helps maintain consistency, fairness, and accountability while reducing manual workload.
In this article, we will walk you through the detailed steps of how to roll out an appraisal cycle in uKnowva HRMS.
Step 1: Open the Roll Out Appraisal Page
To begin, go to the side navigation panel and click on the My Performance menu. From the list of options, select the Roll Out Appraisal sub-menu.
A new page will open, displaying the list of appraisal cycles that are already created. Each cycle is shown under headers such as Title, Action, Description, Valid From, Valid Till, and Financial Year.
These details help you quickly identify the correct cycle that you need to roll out.
Step 2: Select the Appraisal Cycle and Roll It Out
Once you have located the cycle you want to roll out, click on the checkmark icon under the Action column.
This will open a new page with a list of users assigned to that appraisal cycle.
The list will display key details under headers like Name, Action, Designation, Manager, KRA Status, and Rating Status.
If you want to roll out the appraisal for multiple users at once, you can select them by clicking the checkbox on the left side of their names.
After selecting the required employees, click the Rollout button on the top-right corner of the page.
An alert will appear asking you to confirm your action. Once confirmed, the appraisal will be rolled out for those employees.
Step 3: Roll Out Appraisal for a Single User
If you need to roll out the appraisal for an individual user, you can either scroll through the list or use the search bar provided above the table.
Enter the relevant keywords, such as the employee’s name or designation, and click on the search button.
To refine your results further, you can also click on the More Filters button.
This will display options such as KRA Status, Rating Status, User Group, and Designation.
Once you locate the employee, click on the three-dot icon under the Action column.
This will reveal additional options such as Rolled Out, Delete Employee Ratings, View score card, and more.
From this list, select Rolled Out.
A confirmation alert will appear, and once confirmed, the appraisal for that single user will be rolled out successfully.
Step 4: Understanding the Appraisal Workflow
The rollout of appraisal is just the beginning of the performance evaluation cycle in uKnowva HRMS. Once the HR Manager creates the appraisal type and rolls it out, employees receive the appraisal form where they can rate themselves and submit their responses.
The reporting manager then receives a notification and is required to rate their team members.
After this, the business head reviews and provides their ratings along with other necessary details. These ratings are then sent to the HR Manager for approval. Once the HR Manager approves the business head’s ratings, employees can view the final ratings assigned by both the reporting manager and business head.
This step-by-step workflow ensures that the process is transparent, accurate, and involves all necessary stakeholders.
Conclusion
That’s it!
You’ve now successfully rolled out an appraisal cycle in uKnowva HRMS.
By following this process, you ensure that performance evaluations are initiated in a timely and organized manner, with all employees properly included in the cycle.
This system reduces manual errors, improves communication between employees and managers, and ensures that ratings are captured at every level of the hierarchy.
