This article explains how to submit a resignation on behalf of another employee in uKnowva HRMS.

Step 1: Navigate to the My Resignation Menu
To begin the resignation process, log in to uKnowva HRMS and locate the side navigation panel.
From the menu options, click on Resignation. Once selected, a sub-menu appears with additional resignation-related options. Click on My Resignation to open the resignation interface, where new resignation requests can be initiated.

This section serves as the central workspace for managing resignation submissions, whether for yourself or for another employee.

Step 2: Choose the Employee for Whom the Resignation Is Being Submitted
On the resignation interface, navigate to the For User section.
Here, uKnowva provides two radio button options: Me and Other User. The Me option is used when you are submitting your own resignation.
Since this process involves submitting a resignation on behalf of another employee, select the Other User option.

Once selected, the system activates additional fields that allow you to proceed with the resignation request for the chosen employee.
Step 3: Enter the Resignation Details
After selecting Other User, uKnowva displays all the required fields needed to complete the resignation process accurately.
In the Select User field, choose the employee for whom the resignation is being submitted.

The Notice Period field displays the notice period in days as per the organisation’s policy or the employee’s configuration.
Based on this notice period, uKnowva automatically calculates the Last Day of Work, ensuring consistency and compliance with internal exit rules.

Next, select the Reason for Leaving from the drop-down menu. This helps maintain structured exit data for reporting and analysis.

If you do not want to serve the notice period simply check the checkbox in the field I do not wish to serve the notice period. This field will only be visible to you, if your organization has enabled this configuration.
Use the Remarks field to add any additional comments or context related to the resignation, such as managerial decisions or administrative notes.

Step 4: Submit the Resignation Request
Once all the required details are filled in, carefully review the information to ensure accuracy.
If any changes are required, you can modify the details before proceeding. After confirming everything, click the Submit button to process the resignation request.
Submitting the resignation triggers the configured approval workflow and exit process defined in your organisation’s uKnowva HRMS setup.
