Employees may struggle to summarize their achievements effectively, while managers may find it difficult to provide consistent and insightful feedback for every team member. To simplify this process, uKnowva HRMS introduces an AI-based comment generation feature in the Overall Comments section for both Self Evaluation and Manager Evaluation.

This feature automatically generates structured and relevant comments based on KRA ratings, competency evaluations, and the descriptions entered during the appraisal process. It ensures that feedback is more comprehensive, consistent, and aligned with performance data. As a result, both employees and managers can save time while improving the quality of their evaluations.

Step 1: Access the Self-Evaluation Section

To begin using the AI-based comment generation feature for self-appraisal, log in to your uKnowva HRMS account and navigate to the side navigation panel. 

From there, click on the My Performance menu and select the Rate Myself sub-menu. 

This will open the self-evaluation interface where you can view your assigned appraisal cycle.

Once inside, select the appropriate financial year for which the appraisal has been rolled out. 

The system will then display your KRAs and competencies that need to be evaluated. This section acts as the foundation for generating AI-based comments, as the system uses this data to create meaningful summaries.

Step 2: Complete Your Self-Ratings

Before using the AI feature, it is essential to complete your ratings. Begin evaluating yourself against each KRA and competency listed on the page. 

Enter ratings thoughtfully and provide supporting descriptions wherever required, as these inputs directly influence the quality and accuracy of the AI-generated comments.

Take your time to ensure that your ratings reflect your actual performance. The more accurate and detailed your inputs are, the more relevant and personalized the generated comments will be. Once you complete all required ratings, you can proceed to generate the overall comments.

Step 3: Generate AI-Based Self Evaluation Comments

After completing your ratings, locate the Overall Comments (Self Evaluation) section on the page. Here, you will find the Generate with AI button. Click on this button to trigger the AI engine.

The system will instantly analyze your KRA scores, competency ratings, and the descriptions you provided. 

Based on this analysis, it will generate a structured and professional summary of your performance. You can review the generated content and make edits if needed to better reflect your personal tone or highlight specific achievements.

If you want more control over how the comments are generated, you can use the customization option. In the same Overall Comments section, click on the Customize button. This will allow you to modify the prompt used by the AI engine.

Update the prompt to reflect your thoughts, preferences, or specific areas you want the AI to focus on, such as highlighting achievements, emphasizing leadership skills, or maintaining a formal tone. After updating the prompt, click on the Generate with AI button again.

The system will regenerate the comments based on your customized input, giving you a more refined and personalized output.

Step 4: Manager Evaluation Using AI-Based Comments

The AI-based comment generation feature is also available for managers during team evaluations. To access this, navigate to the My Performance menu from the side navigation panel and select the Rate My Team sub-menu. 

This section displays a list of team members who are due for evaluation or have already been evaluated.

Locate the relevant team member and click on the Rate Now button under the Action column. 

This will open the evaluation interface where you can review the employee’s performance details and provide ratings based on KRAs and competencies.

Start by rating your team member.

Once you complete the ratings, move to the Overall Comments section and click on the Generate with AI button. 

The system will generate a well-structured summary of the employee’s performance based on the ratings and inputs provided. You can refine the generated comments if required, then complete the remaining fields and submit the evaluation.

If needed, use the Customize option to adjust the prompt and regenerate the comments for better alignment with your evaluation style. Once satisfied, complete the remaining details and submit the evaluation.
