In uKnowva HRMS, you can easily create KRA templates in the Performance module to streamline the process of defining and managing employee performance expectations.
These templates allow HR managers to pre-define KRAs and competencies for various designations, ensuring that performance evaluations are consistent and structured across the company.
In this tutorial, we will walk you through the process of creating KRA templates in uKnowva HRMS.
There are two methods available: adding a new template manually or importing a pre-prepared template. Let’s go step by step.
Step 1: Accessing the KRA Templates Page
To begin, go to the side navigation panel, click on the My Performance menu, and then select the KRA Template sub-menu.
This will open a new page displaying the list of existing KRA templates. The list is organized with headers such as Name, Action, Created By, and Created On, making it easy to track and manage all templates in one place.
Step 2: Adding a New KRA Template
To create a new KRA template, click on the “+” icon present above the list.
A pop-up will open where you can start filling in the required details.
You must first enter the Designation Name by selecting it from the drop-down, followed by the Template Name.
Next, set accessibility preferences by choosing whether the template should be available to all users or only specific users.
If you select the latter, another field labeled Share With will appear, allowing you to specify the names of the users who can access the template.
Step 3: Entering KRA Details
Once the basic template details are entered, you can begin filling in the KRA section. Here you will provide details such as the Title, Type (from the drop-down), Reasoning, Weightage (%), and Required Date.
To add more rows, click on the “+” icon, and to remove any row, click on the bin icon at the end of that row.
At the bottom of this section, you will see the Total Weightage (%), which must equal 100%.
This ensures that all KRAs are distributed correctly across the performance expectations.
Step 4: Adding Competencies
Below the KRA section, you will find the Competencies section. Here, you need to fill in details such as the Title, Type (from the drop-down), Reasoning, Weightage (%), and Required Date.
Just like with KRAs, the total weightage of competencies must also be distributed properly to equal 100%.
To add another row, click on the + button, and to delete any row, click on the bin icon at the end of the row.
This ensures a balanced evaluation process that takes into account both performance outcomes and behavioral competencies.
Step 5: Using AI to Generate KRAs
To make the process faster, uKnowva HRMS provides a Generate with AI feature.
Simply enter the Title and select the Designation, then click on the AI Suggest button.
The system will automatically suggest relevant KRAs and competencies for the selected designation, saving you time and effort.
You can then review, edit, and finalize these suggestions before saving. If you decide not to proceed, you can click on the Cancel button, or click Save to finalize and store the template.
Step 6: Importing a KRA Template
Apart from creating a template manually, you also have the option to import an existing one.
To do this, click on the Import button present above the list. A pop-up will appear, allowing you to download a sample template file.
If you wish to skip uploading any existing templates, simply check the Skip Existing Templates checkbox.
Once your file is ready, click on the Browse button to select it from your system, and then click on Upload File.
The system will process the file and display the new templates in the list, making them immediately available for use.
