How to Cancel an Approved Leave as an HR in uKnowva HRMS?

However, there are situations where an approved leave may need to be canceled, whether due to business requirements, incorrect approvals, or employee requests for modifications.

uKnowva HRMS allows HR professionals to cancel approved leaves seamlessly through the Leave History section.

This guide explains how to locate an employee's leave request, apply filters for easy searching, and cancel approved leave when necessary.

Step 1: Accessing the Leave History Section

To begin the process, navigate to the Team Members menu from the side navigation panel and select the Leave History sub-menu.

This will open an interface displaying a list of team members who have applied for leave, along with key details such as employee name, leave type, leave duration, status, application date, and comments.

Step 2: Locating the Employee’s Leave Request

Once in the Leave History section, locate the employee whose approved leave needs to be canceled.

You can manually scroll through the list to find the employee or use the advanced search and filter options for quicker access.

To apply filters, click on the funnel icon in the top-right corner.

This will open filtering options such as search by name, date range (From and To), user group, leave type, leave status, designation, blood group, city, and state.

After entering the necessary filters, click on the Search button to display relevant results or the Reset button to clear filters and start over.

Step 3: Canceling the Approved Leave

Once you have located the employee's leave request, navigate to the Action column where a bin icon is displayed. Click on this icon to initiate the leave cancellation process.

A confirmation alert will appear, asking you to confirm the cancellation. Click on OK to proceed or Cancel to stop the action.

After clicking OK, another alert will appear, prompting you to enter a reason for canceling the leave.

Provide a valid reason in the text field and to confirm the action click the OK button. The leave will then be deleted, effectively canceling the approved leave for the selected employee.

Step 4: Importing and Exporting Leave History

In addition to canceling approved leaves, uKnowva HRMS allows HR professionals to manage leave records efficiently by importing and exporting leave history.

To import leave history, click on the Import Leaves History button, which will open a pop-up window where you can download a sample file.

Once the required data is prepared, click on Browse to upload the file and then select the Upload CSV file button to complete the process.

To export leave records, click on the Export to Excel button, which will generate a downloadable file containing the leave history of employees.
