How to Configure Language Translation and Use Translator Master in uKnowva HRMS?

Introduction

A multilingual HRMS helps organizations provide a better experience for employees working across different regions and language preferences. Instead of limiting users to a single interface language, uKnowva HRMS allows administrators to configure multiple languages and translate menus, modules, articles, and extensions so that users can navigate the system more comfortably.

The translation feature is managed through two components: the uKnowva Translator plugin, which enables language support across the system, and the Translator Master, which allows administrators to create, edit, and manage translations. Together, these features make it easier to maintain consistent translations while reducing manual effort with built-in AI-powered translation options.

In this article, you will learn how to configure the Translator plugin, enable language support, and use Translator Master to manage translations in uKnowva HRMS.

Step 1: Verify the Required Plugins

To use the language translation and Translator Master features, make sure the uKnowva Translator extension is installed in your uKnowva HRMS instance. You can get the extension from the uKnowva Extension Store 

Before configuring language translation, make sure that both the uKnowva System plugin and the com_master component are updated to their latest supported versions. These plugins are required for the translation features to work correctly within the system.

Keeping these plugins updated ensures compatibility with the Translator plugin and helps avoid issues while managing multilingual content.

Step 2: Configure the uKnowva Translator Plugin

To begin, go to the top-right corner of your uKnowva HRMS instance and click on your profile photo. From the list of available options, select uKnowva Configuration.

This opens the configuration page.

From the left-side menu, click on Plugin Manager.

The Plugin Manager displays all the plugins available in your system. You can either scroll through the list or use the search option to locate the uKnowva Translator plugin.

If you do not have the uKnowva Translator plugin installed in your instance, you can visit the uKnowva Translator extension on the extension store and install it. 

Click on the plugin to open its configuration window.

Inside the configuration window, select the Default Language that you want the system to use as the primary interface language.

Next, configure the Enable Custom Language setting according to your requirements.

Enabling Custom Language allows the system to use translations created through the Content Translator, which is useful when you want to translate custom text and system content beyond the standard menu and module translations. Without enabling this setting, content-level translations created through the Content Translator will not be applied.

After configuring these settings, click the Save button to apply the changes.

Step 3: Verify the Available Languages

Once the Translator plugin has been configured successfully, return to your uKnowva HRMS interface.

In the top navigation bar, you will now see the Language drop-down menu.

This drop-down displays the languages currently available in your system and allows users to switch between configured languages whenever required.

Step 4: Open Translator Master

To begin managing translations, click on your profile icon again and select Translator Master from the available options.

This opens the Translator Master page, which acts as the central workspace for managing translations throughout the system.

Before creating translations, make sure that the language files required for your target language are already available in the system.

Within Translator Master, you can create new translations, edit existing ones, and export existing translations whenever required.

Step 5: Create a New Translation

To create a new translation, click the Add button located above the translation list.

This opens the translation configuration page.

Start by selecting the Language for which you want to create the translation.

Next, choose the Reference Table.

The Reference Table determines which part of the system you want to translate. Available options include Menus, Modules, Content, and Extensions.

The remaining fields on the page change depending on the selected Reference Table.

Step 6: Translate Menus

If you select Menus as the Reference Table, you will need to choose the appropriate Menu Type.

Depending on your requirement, you can select options such as Apps Toolbar, Configure uKnowva, Extra Menu, Left Main Menu, LMS Categories, and other available menu groups.

Once the menu type is selected, the translation table appears.

The table contains columns for Title, Translate Title, and Alias.

You can enter translations manually for each menu, or use the Translate with AI option to generate them automatically. To use AI translation, click Translate with AI, and uKnowva will generate translated titles for the available menu entries.

If you want more control over the generated translations, click the Customize button before using Translate with AI. 

This allows you to adjust the translation prompt and regenerate the translations according to your preferred style.

If you have a large number of menu titles to translate, you can use the Export and Import options to manage translations through a file. Use Export to Excel button to download the existing menu translation data and review or update the translations in the downloaded file. 

Once you have prepared the required translations, use Upload Excel to upload the updated Excel file back into uKnowva. 

Note: Before uploading the CSV file, make sure it is saved in UTF-8 format. If the file is not UTF-8 encoded, translated text may not be stored correctly and can appear as “????” instead of the actual translated text.

This approach is useful when translations need to be reviewed by a language expert or prepared outside the HRMS before being added to the system.

Once you have completed the translations, review the entries and click Save to store the translated menu titles.

Step 7: Translate Modules

If you choose Modules as the Reference Table, the system displays a translation table containing Title, Translate Title, Content, and Translate Content.

The Content column displays the original module content, while the Translate Content column allows you to enter the translated version.

You can enter the translated module title and content manually in the Translate Title and Translate Content fields. 

Alternatively, you can use the Translate with AI feature to generate the translations automatically. 

Just like menu translations, you can customize the AI prompt, export the translation list, and upload completed Excel files whenever required.

Step 8: Translate Articles

If you select Content as the Reference Table, you will first choose the article you want to translate.

Once selected, the translation table displays columns such as Title, Translate Title, Intro Text, and Translate Intro Text.

You can manually translate both the title and introductory text, or use Translate with AI to generate the translated content automatically.

If required, you can customize the AI prompt, export the article translations for offline editing, or upload completed translation files back into the system.

Step 9: Translate Extensions

If you choose Extensions as the Reference Table, select the extension you want to translate.

The translation table displays Title and Translate Title columns.

Enter the translated extension name manually or generate it using Translate with AI.

You can also customize the AI prompt, export the translation data, and upload updated translation files whenever necessary.

Step 10: Save the Translation

After completing the required translations, review the entered values and click the Save button.

The translated content becomes available according to the selected language and configured translation settings.

Step 11: Edit Existing Translations

To update an existing translation, locate the required record using the search bar.

You can search using details such as the menu title.

After locating the translation, click the Edit button.

The translation opens in edit mode, allowing you to modify the existing values.

After making your changes, click Save to update the translation.
