With this feature, you can either select an existing structure or manually update each component of the employee’s earnings and deductions.
This helps in maintaining salary transparency and ensures payroll accuracy across the system.
In this guide, we’ll walk you through the detailed steps to change an individual employee’s salary structure using the Payroll module in uKnowva HRMS.
Step 1: Navigating to the Payroll Section
Start by going to the HR Manager menu in your uKnowva HRMS. From there, navigate to the Payroll menu, and then click on the Payroll sub-menu listed within it.
Once the Payroll page opens, you will see a detailed table displaying a list of all employees in your system.
This table is organized under multiple headers such as Name, Action, Basic, HRA, Special Allowance, Employer and Employee contributions to PF and ESIC, Travel Allowance, Gratuity, Medical Allowance, and various other components that make up the total earnings and deductions.
This overview helps you easily identify and select the employee whose salary structure needs to be changed.
Step 2: Opening the Salary Structure for Editing
Locate the employee whose salary details you want to modify and click on the pen icon under the Action column next to their name.
This action will open a new page dedicated to that employee’s salary structure.
At the top of the page, you’ll notice a drop-down menu that allows you to either select a predefined salary structure or proceed to fill in the fields manually.
If you're opting for a manual update, begin by entering the Yearly CTC and Yearly Gross values.
Once these fields are filled, the system will automatically calculate the Monthly CTC, Monthly Gross, Calculated Yearly CTC, Calculated Monthly CTC, Calculated Yearly Gross, and Calculated Monthly Gross—providing a complete breakdown of the revised structure.
Step 3: Updating Earnings Components
Next, scroll down to the Earnings section. This section enables you to define or update various earnings components for the selected employee.
Use the drop-down to select a specific earning head and enter the corresponding formula or amount.
You can then specify whether the component is Variable, Non-Taxable, should Show in Payslip, and whether it should be calculated on the Basis of Attendance.
Each of these options affects how the earnings will be handled during monthly payroll processing.
To add additional components, click on the + icon beside the attendance-based calculation option.
If you need to remove a component, use the bin icon provided at the end of each row.
Step 4: Updating Deductions Components
Below the earnings section, you will find the Deductions section, which functions similarly.
Choose a deduction head from the drop-down menu and enter either a fixed amount or a formula.
For each deduction, you can decide whether it should Show in Payslip and if it must be Calculated Based on Attendance.
These settings help you ensure accurate deductions such as PF, professional tax, TDS, or loan instalments.
You can add or remove deduction rows using the + and bin icons just like in the earnings section.
Step 5: Saving the Updated Salary Structure
After thoroughly reviewing and updating the earnings and deductions, scroll to the bottom of the page.
Click on the Save button to successfully apply the changes to the employee’s salary structure.
If you decide not to proceed with the changes, you can simply click on the Cancel button to discard all modifications and exit the page without saving.
