Skills and Endorsements: Process Flow & Configuration Guide

The Skills and Endorsements module enables organizations to define skill sets, proficiency levels, and map them to designations. Employees can claim, endorse, and get skills approved by managers. This system helps track competencies, support career growth, and guide training interventions.

How to configure skill master?

Step 1: Skill Master Configuration

Path: HR Manager > Master > Skill Master

Purpose:To define the list of skills should be available in the system.

How to Add New Skill:

  1. Click on the "Add" button.

2. Fill in the following fields:

  • Skill Name
  • Skill Description
  • Category (e.g., Technical, Soft Skill, Management)
  • Type (classification)
  • Click Save.

 Additional Actions:

  • Import Skills – Bulk upload using predefined template.

  • Export Skills – Download existing skills.

  • Delete Skills – Remove obsolete or incorrect entries.

How to configure Skill Proficiency master?

Skill Proficiency Levels

Path: HR Manager > Master > Skill Proficiency

Purpose: To define proficiency levels (e.g., Beginner, Intermediate, Expert) for each skill.

Add New Proficiency:

  1. Click on the "Add" button.
  2. Enter the following:
  • Title (e.g., Advanced, Expert)
  • Ordering (numeric order to define sequence)

3.Click Save.

Note: Ordering helps in displaying the levels sequentially (e.g., 1 for Novice, 2 for Beginner, etc.).

Other Available Actions:

  • Delete : Delete proficiency levels which are not required
  • Import: Upload multiple proficiency levels in bulk using a predefined Excel format.
  • Export: Download the existing list of skill proficiencies for backup or review.

How to Map Skills in Designation Master?

Path: HR Manager > Master > Designation Master

Purpose:To associate required skills (and proficiency levels) to each job designation.

Designation Skill Mapping:

While adding/editing a designation, map the required skills associated with the designation

Field Definitions:

  • Skill: The core competency required for the role, This will come user skill master table.
  • Proficiency: Dropdown to select from levels like Novice, Beginner, Intermediate, etc. this will come from Skill Proficiency master.
  • Certificate Required: Toggle or checkbox to indicate if certification is mandatory.
  • Certificate List: Optional field to specify acceptable certificates.
  • Suggested Courses: Optional field for relevant learning paths or LMS courses.
  • Skill Priority: Helps indicate the importance level of this skill for the designation (can be used in evaluation or LMS auto-assignment)

 Notes:

  • Once the designation is assigned to an employee, the mapped skills become visible on their profile as er employee’s designation
  • Employees can claim skills, upload certifications, or enrol in suggested courses
  • Managers can review and approve these skill claims before they are added to the employee’s profile

Employee Skill Visibility Interaction

Once the designation is assigned to an employee:

4.1 Auto-Mapped Skills:

  • Employees will see the required skills, milestone, LMS Courses based on their designation.

4.2 Employee-Specific Skills:

  •  Employees can also add new skills additional to be mapped to their designation.
  •  Click on ‘Add Skill’ button
  • These we can refer as  "Employee-Specific Skills".
  • They can claim a skill by submitting it for approval.
  • Manager receives a notification and can approve or reject the claimed skill.
  • Upon approval, the skill is added to the employee's profile with required milestone.

Manager Approval Process

  • Once employee add skills to their profile
  • Manager will be notified on email and notification
  • Manager can accept / reject skills.

  • Once manager approve skill, that will be visible on employee’s profile
  • Please note blue coloured one with are those approved by managers
  • Grey one are employee’s designation specific skills required 

View career Path & grab internal growth opportunities

To help employees visualize internal growth opportunities based on their current designation and acquired skills, encouraging upskilling and structured career progression.

How It Works:

  1. Designation-Based Career Paths are defined during setup in the Designation Master under the section Career Progression.
  2. Based on Employee’s assigned designation

The system displays a visual path showing:

    • Current Role → Next Role → Future Role

Employee-Initiated Career Change Request

To allow employees to request a change in their career path/designation based on the mapped career progression paths available in the system

How It Works:

  1. Employee Initiates Career Change
    • The employee selects a desired designation from the suggested career paths.
    • System checks available career change option.
  2. Request Form Includes:
    • Current Designation
    • To Designation ( Need to change)
    • Type of career : automatically fetch from designation master
  3. Approval Workflow
    • Request is sent to the Reporting Manager or HR Manager.
    • Manager reviews:
      • Skill completion
      • Performance data
      • Vacancy/budget availability
    • Manager can Approve or Reject the request with remarks.
  4. Post-Approval
    • Upon approval:
      • Employee’s designation will be updated.
    • Upon rejection:
      • Employee receives feedback and training suggestions.
