While the Design Template feature controls the layout of report data, the Configure Excel Header and Footer feature allows administrators to standardize the information displayed at the top and bottom of every exported Excel report. You can create reusable presets containing report titles, dates, page numbers, company logos, usernames, and other print-related information. These presets can then be applied while designing reports, ensuring a consistent appearance across all Excel exports.
In this tutorial, you will learn how to create, manage, import, export, edit, and delete Excel Header and Footer presets in uKnowva HRMS.
Step 1: Open the Configure Excel Header and Footer Page
To begin, navigate to the side navigation panel and click on the Configure Excel Header and Footer menu.

This opens the page displaying all the header and footer presets available in your system. The presets are displayed in a table containing details such as the ID, Action, Preset Name, Created By, and Created On, allowing you to easily identify and manage existing presets.

Step 2: Create a New Header and Footer Preset
To create a new preset, click the + icon available above the table.

A new page will open where you can configure the preset.

Start by entering a meaningful Preset Name so that it can be easily identified while designing Excel reports.
Next, configure the Header Settings.
For the Left, Center, and Right sections of the header, select the information you want to display. You can choose from options such as Blank, Report Title, Date, Time, Username, Page X of Y, or Image.

If you select Image, an additional field appears, allowing you to upload the image that should be displayed in the Excel header.

After configuring the header, move to the Footer Settings. Similar to the header, configure the Left, Center, and Right sections by selecting the information you want to display in the footer of the exported Excel file.

Finally, configure the page margins by entering values for Header Margin, Top Margin, Footer Margin, and Bottom Margin. These settings control the spacing between the page content and the header or footer when the Excel file is printed.

Once all the required details have been entered, click the Submit button to save the preset.
Step 3: Import Header and Footer Presets
If you already have preset configurations prepared in a CSV file, you can import them into the system.
Click the Import button located above the preset list.

A pop-up window will appear where you can download the CSV template to understand the required file structure.

After preparing your CSV file in the prescribed format, click the Browse button, select the file from your computer, and then click Upload Files to import the presets into the system.

Step 4: Export Existing Presets
If you want to download the existing presets for backup or migration purposes, simply click the Export button available above the preset list.
The system exports the available preset records, allowing you to store or reuse them whenever required.

Step 5: Search for a Preset
When multiple presets exist, you can quickly locate a specific one using the search option.
Enter the Preset Name in the search bar and click the Search button.
The system filters the list and displays only the matching records.

If you want to clear the search criteria and display all presets again, click the Reset button.
Step 6: View a Preset
To review the details of an existing preset without making any changes, locate the required preset in the list and click the View (Eye) icon available under the Action column.

The system opens the preset in read-only mode, allowing you to review all the configured header, footer, image, and margin settings.

Step 7: Edit a Preset
If you need to update an existing preset, click the Edit (Pencil) icon under the Action column.

The preset opens in editable mode, allowing you to modify any of its settings, including the header content, footer content, images, and page margins.

After making the necessary changes, click the Submit button to save the updated configuration.
Step 8: Delete a Preset
To delete a single preset, locate it in the list and click the Delete (Bin) icon under the Action column.

A confirmation message appears. Click OK to permanently delete the selected preset.

Step 9: Delete Multiple Presets
If you want to remove multiple presets at once, select the checkboxes corresponding to the required presets.
After selecting all the records, click the Delete (Bin) icon available above the table.

A confirmation dialog appears. Click OK to confirm the deletion of all the selected presets.
