How to Bulk Import Salary Structures in uKnowva HRMS?

Introduction

Managing employee compensation accurately is essential to ensure transparency and trust within an organisation.

In uKnowva HRMS, the bulk import feature for salary structures allows HR managers to upload multiple salary records at once, saving time and minimizing errors.

Whether you're onboarding new employees, updating revised salaries after appraisals, or applying salary corrections, this feature is designed to streamline the entire payroll setup process.

Instead of assigning salary structures individually, this method enables you to apply the correct salary structure to multiple employees in one go using a structured CSV format.

Follow the steps below to carry out this task seamlessly.

Step 1: Accessing the Payroll Section

Begin by logging into your uKnowva HRMS instance and navigating to the left-hand side navigation panel.

From the menu, click on the HR Manager menu, then proceed to the Payroll menu, and from the list of sub-menus, again select the Payroll sub-menu.

Step 2: Opening the Assign Salary Interface

Once you're on the Payroll page, locate the More button situated at the top-right corner of the screen.

Click on this button to reveal additional options, and then select the Assign Salary option from the list.

This will open a pop-up window specifically designed for bulk importing user salary structures.

Step 3: Preparing the CSV File

In the Assign Salary pop-up, you will see an option to download the template file.

Click this to get the required format in which the salary details need to be filled.

It is extremely important to ensure that the names entered in the Salary Structure column exactly match the existing salary structure names already configured in the system.

Any mismatch in naming will result in an unsuccessful import.

You should populate the CSV with accurate data for each employee. In the import file, you can assign reasons for the salary update or assignment.

These reasons can include any of the following: Initial Offered Salary, Performance-Based Raise, Promotion, Cost of Living Adjustment (COLA), Market Rate Adjustment, Retention Incentive, Longevity or Tenure, etc.

You may list multiple reasons, separated by commas, based on the nature of the salary update for each user.

Step 4: Uploading the CSV File

Once your file is ready and saved in the appropriate format, return to the Assign Salary pop-up.

Use the Browse or Choose File option to locate and select your CSV file from your system. After selecting the file, click the Upload CSV File button to begin the import.

The system will read the file and apply the corresponding salary structures to the listed employees, based on the details provided in your CSV.

Conclusion

That’s it!

You’ve now successfully bulk-imported multiple salary structures into uKnowva HRMS.

By following this process, you save valuable time, reduce manual entry errors, and ensure that each employee’s compensation structure is recorded precisely according to predefined templates.

This system makes payroll management more efficient and adaptable to organisational changes.
