The platform offers detailed attendance reports, the ability to add attendance or leave on behalf of a team member, and even view detailed attendance calendars for better transparency.
In this article, we will guide you step by step on how to update or modify your team’s attendance and leave within uKnowva HRMS.
Step 1: Accessing the Attendance Report
To begin updating or modifying your team’s records, go to the side navigation bar and click on the Teams menu. From there, select the Attendance Report sub-menu.
This action will open a new page where you will see a list of users from your team displayed in a structured format.
The page contains columns such as Name, Action, and Date-wise entries (01, 02, 03, etc.) for the selected month.
Step 2: Adding Attendance for a Team Member
Once you are on the Attendance Report page, locate the team member whose record you wish to update and click on the attendance record present under the specific date.
A pop-up window will appear with two tabs: Add Attendance and Add Leave.
If you want to update attendance, switch to the Attendance tab.
Here, you can enter the Start Time, End Time, and Description (select from the drop-down list).
It is important to note that the system will not allow you to enter timings that overlap with existing records, ensuring accurate data.
After entering the details, click on the Save button to confirm the update or select Cancel if you do not wish to proceed.
Step 3: Adding Leave on Behalf of a Team Member
If you need to apply leave for a subordinate, switch to the Leave tab in the same pop-up.
In this tab, choose the For User option and select the Other User radio button.
Once selected, enter the team member’s name in the Select User field. After this, you will need to pick the Leave Type from the drop-down menu.
Choose the Day Type depending on whether it is a full day, half day, or multiple days.
For a full-day leave, simply select the date and provide a reason.
For half-day leave, specify whether it is the first half or the second half of the day, along with the date and reason.
If the leave is for multiple days, you must select the From Date and To Date, and also define if any of those days should be considered as half-days.
Once all the details are filled in, enter the reason and click Save to confirm the leave application or Cancel to discard the changes.
Step 4: Reviewing Attendance Data and Calendar View
Back on the Attendance Report page, scroll horizontally to the right to view detailed attendance statistics for each team member.
These include data such as Total Days, Paid Days, Unpaid Days, Total Overtime Days, and Total Present Days for the selected month and year.
This consolidated view helps you assess the overall attendance performance of your team.
Additionally, you can click on the Eye button next to each member’s name to view their Attendance Calendar.
A new tab will open, displaying the calendar view for the selected member. Each day in the calendar may contain comments if the employee has provided reasons for late punch-ins or early log-outs.
You can also filter the calendar view by Month, Week, or Day using the buttons on the top-right corner, making it easier to analyze attendance patterns.
