To simplify this process, uKnowva provides a Quick Onboarding feature that allows HR teams and administrators to add new employees to the system quickly by entering basic information. This feature is especially useful when organizations need to onboard multiple employees in a short period of time or when immediate system access is required for new hires. With Quick Onboarding, you can enter essential employee details such as their name, designation, reporting manager, and contact information, and create their system profile within minutes.
This article explains how to access the Quick Onboarding feature and complete the employee onboarding process in uKnowva.
Step 1: Navigate to the Team Members Section
To begin the onboarding process, log in to your uKnowva HRMS account and access the system dashboard. From the side navigation panel , locate the Teams menu and click on it to expand the available options.
Within the Teams menu, select the Team Members sub-menu.

Once you click on this option, the system will open a new page displaying the complete list of team members currently registered in the system. This page serves as a centralized location where managers and HR personnel can view employee records, manage team structures, and perform onboarding activities.

Step 2: Open the Quick Onboarding Window
On the Team Members page, locate the Quick Onboarding button positioned above the list of team members. Click on it to proceed.

Once selected, the system will open a pop-up window where you can enter the essential information required to create the employee’s profile.
This interface is designed to capture the most important details needed to register the employee in the system.

Step 3: Enter Employee Details in the Quick Onboarding Form
Inside the Quick Onboarding pop-up window, begin filling in the required employee information.
Start by selecting the Employee Code Series , which determines how the employee’s unique code will be generated in the system. Next, enter the employee’s Email ID and Username , which will be used for system communication and login purposes.

After entering these credentials, provide the employee’s Name and select their Designation to define their role within the organization. You must also select the appropriate Role in the system so that the employee receives the correct permissions and access rights.

Next, select the Reporting Manager to establish the employee’s reporting hierarchy within the organization.
This step is important because it ensures that the employee is correctly mapped to their manager for approvals, attendance tracking, performance management, and other workflow-related processes.
The system also allows you to upload an image for the employee, which will appear in their profile and organizational directory.

After uploading the image, continue entering the employee’s personal information, including Gender , Date of Birth , Mobile Number , and Date of Joining .
These details help complete the employee’s basic profile and ensure that their records are properly maintained in the system.
Once you have filled in all the required fields, carefully review the information to ensure accuracy before proceeding.

Step 4: Submit the Onboarding Form
After completing all the necessary fields in the Quick Onboarding form, click on the Submit button to finalize the process.
Once submitted, the system will create the employee’s profile and add the new user to the list of team members in uKnowva.
The employee will now appear in the Team Members section, where administrators and managers can manage their details, assign responsibilities, and configure additional information if required.
