In many organisations, HR teams and authorised administrators need the ability to initiate resignation requests on behalf of employees due to compliance requirements, managerial decisions, or operational constraints.
To support this requirement, uKnowva HRMS provides a configurable setting that allows resignations to be submitted for other users in a controlled and secure manner.
This article explains how to enable the Resignation on Behalf feature using the uKnowva Configuration panel.
Once enabled, authorised users can initiate resignation requests for employees directly from the resignation module, ensuring consistency in exit workflows and adherence to organisational policies.
Step 1: Access uKnowva Configuration
To begin, log in to uKnowva HRMS and navigate to the top-right corner of the screen.
Click on your profile icon to open a drop-down menu that displays multiple system-level options.

From this list, select uKnowva Configuration to access the administrative settings where core platform features can be managed and customised.

This section allows administrators to control app behaviour, permissions, and workflow settings across the organisation.
Step 2: Open the Apps Manager
Once you are inside the uKnowva Configuration area, look at the left-side navigation menu. From the available options, click on Apps Manager.

This opens a consolidated view of all applications that are installed and active within your uKnowva HRMS environment.

The Apps Manager is where you can enable, disable, and configure individual applications based on your organisation’s operational needs.
Step 3: Locate the Employee Onboarding and Exit Management App
Within the Apps Manager, you will see a list of installed applications. Scroll through the list or use the search bar at the top to quickly locate the Employee Onboarding and Exit Management app.

Once found, click on the app to open its configuration pop-up.

This app controls all onboarding and exit-related workflows, including resignations, notice periods, and exit approvals.
Step 4: Enable Resignation on Behalf
Inside the Employee Onboarding and Exit Management app configuration pop-up, search for the setting labeled Do you want to allow access to resign on behalf of another user?.
A toggle button appears next to this option.

If the toggle is currently disabled, switch it to Yes.
Enabling this option allows authorised users to submit resignation requests on behalf of other employees while maintaining system-defined access controls and approval workflows.
Step 5: Save the Changes
After enabling the resignation-on-behalf option, click on the Save button to apply and confirm the changes.
uKnowva immediately updates the configuration and activates the feature across the resignation module.
If you do not wish to proceed with the changes, you can click on Cancel to discard the configuration without impacting existing settings.
