Introduction
Quick onboarding in uKnowva HRMS is designed to streamline the process of adding new users into the system.
It eliminates the need to fill out the entire profile manually, allowing key information to be captured quickly.
However, to ensure that the most relevant data is collected during this step, administrators can configure which profile fields should be visible during quick onboarding.
This feature is especially useful for HR teams that want to maintain consistency in data collection while keeping the onboarding experience simple and efficient.
In this article, we will walk you through the steps required to make selected profile fields visible during the quick onboarding process in uKnowva HRMS.
Step 1: Access the uKnowva Configuration Area
To begin, go to the top-right corner of your uKnowva instance and click on your profile icon.

A drop-down list will appear with several options. From that list, select the “uKnowva Configuration” option.
Doing so will open the configuration panel. This section contains administrative tools like Apps Manager, User Manager, and Plugin Manager, which are essential for managing different aspects of the platform.
Step 2: Open the Plugin Manager Menu
Once you are inside the configuration panel, locate the Plugin Manager menu from the list of menus on the left-hand side.

Click on Plugin Manager to open the list of available plugins. You can scroll through the list or use the search box to quickly find the plugin named “Profile Fields Mapper.”

Once you find it, click on it. Before you proceed, ensure the plugin is installed and published.
Step 3: Configure the Fields for Quick Onboarding
Clicking on the Profile Fields Mapper plugin will open a configuration pop-up.

Inside this window, you’ll find a field called “Select Fields.” Click on this field to choose which profile fields should be shown during the quick onboarding process.
You can select fields such as Employee Code, Department, Designation, or any other fields based on your internal data requirements.
This ensures that only the most relevant information is collected during onboarding while keeping the process streamlined.

Additionally, you’ll notice a setting labeled “Notify users on update.” You can toggle this to “Yes” if you want the users to receive a notification whenever any of these profile fields are updated.

This feature helps keep users informed of changes made to their data and promotes transparency in your HR operations.
Step 4: Save Your Settings
After selecting the fields and updating the notification setting, click the “Save” button to apply your changes.
If you decide not to make any changes, or if you want to exit without saving, click the “Cancel” button.
Once saved, these selected profile fields will now appear automatically whenever the Quick Onboarding process is initiated for a new user.
Conclusion
That’s it!
You’ve now successfully configured selected profile fields to appear during the quick onboarding process in uKnowva HRMS.
By following this method, you ensure that only the most essential fields are shown during onboarding, reducing manual effort while still capturing important user data.
