Overview of the Offer Letters page

The offer letter management module helps a recruiter streamline the process of extending job offers to candidates, ensuring a smooth and efficient hiring experience. The streamlined distribution of offer letters eliminates manual errors and delays, and reduces administrative burden.

This module allows recruiters to easily customise offer letters according to the specific needs of the role. It ensures that all necessary details, such as job responsibilities, compensation packages, and other terms of employment, are accurately included.

This not only enhances the professionalism of the hiring process but also provides transparency to candidates, fostering a positive impression of the organisation.

Find the Offer Letter menu on the left panel and click on it to get on the Offer Letter page. Details like Candidate Name, Actions, Candidate Email, Job Title, Expected DOJ, Offer Letter Status, etc., will be highlighted here.

Offer Letter Menu

1. Offer letter > View more actions > Edit Profile Information

Function:
Allows HR/recruiter to update candidate’s basic and professional details such as:

  • Name, contact info, address
  • Education, experience
  • Role-specific information

Impact:
Updated data reflects in candidate profile and onboarding docs.


2. Offer letter > View more actions > Send Preonboard Mail

Function:
Sends an automated email containing:

  • Preboarding instructions
  • Link to preboarding form
  • Attachments (if configured)

Use Case:
To initiate document collection or compliance steps before joining.


3. Offer letter > View more actions > Edit Expected DOJ

Function:
Lets the recruiter input or update the Expected Date of Joining (DOJ) of the candidate.

Validation:
Date field with calendar picker. Must be on or after offer date.

Impact:
Used in joining status tracking and onboarding workflow.


4. Offer letter > View more actions >  Copy Preonboard Link

Function:
Copies the candidate-specific preboarding form link to the clipboard.

Use Case:
To manually share the link via WhatsApp, Teams, or other channels.


5. Offer letter > View more actions >  On Board

Function:
Marks the candidate as Onboarded in the system.

  • Updates status to onboarded
  • May trigger welcome email, employee creation workflow, etc.

Permissions:
Restricted to authorized HR roles.


6. Offer letter > View more actions > Download Offer Letter

Function:
Generates and downloads the candidate’s offer letter in PDF format.

Features:

  • Dynamic offer template with autofilled details
  • Signature and date stamp (if configured)
  • Can be downloaded multiple times
