Introduction
Exporting employee data accurately is essential for reporting, compliance, and operational analysis.
Organisations often require specific community or profile-related fields to be included in export files so that the data remains consistent across internal records, audits, and external submissions.
uKnowva HRMS allows administrators to configure export settings and control exactly which profile and community fields appear in exported files.
This article walks you through the complete process of adding and managing community fields in export, ensuring flexibility while maintaining data accuracy.
Step 1: Access uKnowva Configuration
Begin by logging into your uKnowva HRMS instance. Once you are on the dashboard, move to the top-right corner of the screen and click on your profile icon.

This action opens a drop-down menu containing multiple administrative options.
From this list, select uKnowva Configuration to enter the system’s configuration panel, where application-level settings can be managed.

This section is accessible only to authorised users and acts as the control centre for feature-level customisations.
Step 2: Open the Apps Manager
After entering the configuration settings, look at the menu on the left-hand side of the screen.
From the available options, click on Apps Manager.

This takes you to a page that displays all applications installed within your uKnowva HRMS environment.
The Apps Manager allows you to configure app-specific behaviour without affecting other modules in the system.
Step 3: Locate the HRM Lite App
Within the Apps Manager, locate the HRM Lite app. You can scroll through the list manually or use the search bar at the top to find it quickly.

Once you locate HRM Lite, click on it to open its configuration settings in a pop-up window.

HRM Lite controls several core HR configurations, including profile fields and export-related settings.
Step 4: Configure Community Fields for Export
Inside the HRM Lite settings pop-up, search for the option labelled Select Profile Field Export Sequence.

This setting allows you to define which profile and community fields should appear in exported files and in what order.

Click on the dropdown menu to select the required fields. If you want to add more fields, use the + button to include additional options.
If a field is no longer required, you can remove it by clicking on the bin icon next to that field. This flexibility ensures that exports include only relevant and meaningful data.

Next, locate the setting Export Profile Fields As Per New Configuration and toggle it to Yes.

Enabling this option ensures that the export files strictly follow the updated field configuration and include the selected community fields.
Step 5: Apply Additional Export Configurations
uKnowva HRMS also provides additional options to further standardise exports.
One such setting is Add the fields you want to include in all exports, which allows you to define a fixed set of fields that will always be included, regardless of the export type.

Configure these options based on your organisational reporting needs to ensure consistency across all exported data files.
Step 6: Save the Configuration
Once you have selected and configured all required export fields, click on the Save button to apply the changes.
uKnowva HRMS will immediately update the export behaviour based on the new configuration.
If you decide not to proceed with the changes, click on Cancel to discard the modifications without impacting the existing setup.
Conclusion
That’s it! You’ve now successfully configured community fields in export in uKnowva HRMS.
By following this process, you ensure that your export files include the right profile and community fields in a structured and consistent format.
