Purpose of this Manual

This manual provides a complete end-to-end guide to using the Individual Development Plan (IDP) module in the HRMS system. It explains how HR, Managers/Mentors, and Employees can create, approve, manage, track, review, extend, and close IDPs. The objective is to ensure a structured development approach, transparency in performance improvement, and consistent documentation.

What is an IDP?

An Individual Development Plan (IDP) is a structured framework designed to support employee growth and performance improvement. It defines development goals, learning objectives, timelines, resources, and measurable outcomes. The IDP process encourages continuous feedback between employees and managers, enabling targeted skill enhancement and accountability.

Roles Involved

  • HR: Initiates IDP assignment and ensures process compliance.

  • Manager/Mentor: Defines goals, reviews progress, and provides guidance.

  • Employee: Works on assigned goals and updates progress regularly.

  • SME (Optional): Provides subject matter support where required.

IDP Process Overview

  • Step 1: Navigate to IDP Assignment – HR/Manager assigns IDP to employee.

  • Step 2: Fill Assignment Details – Select dates, reviewer, and submit.

  • Step 3: Approval Triggered – Reviewer receives notification.

  • Step 4: Reviewer Approval – Reviewer approves the IDP assignment.

  • Step 5: Manager Opens IDP – Manager accesses the IDP form.

  • Step 6: Add Goals – Define goals, objectives, measurements, and weightage.

  • Step 7: Assign SME (Optional) – Choose SME if required.

  • Step 8: Submit IDP to Employee – Employee receives IDP for acknowledgment.

  • Step 9: Employee Acknowledges IDP.

  • Step 10: Employee Updates Progress & Comments.

  • Step 11: Manager Reviews & Updates Progress.

  • Step 12: Close or Extend IDP – Completed / Partially Completed / Failed.

Step 1: Navigate to IDP Assignment

Go to the HRMS left menu and click on IDP Assignment to assign an employee to an IDP.

Step 2: Fill IDP Assignment Details

HR or the Reporting Manager fills Employee Name, Start Date, End Date, Review Frequency, and Reviewer/Mentor, then clicks Submit.

Step 3: Approval Request Triggered

Upon submission, the request is sent to the selected Reviewer/Mentor for approval.

Step 4: Reviewer/Mentor Approval

The Reviewer/Mentor can approve directly from notifications or open the request to view details and approve.

Step 5: Access IDP from IDP Menu

After approval, the employee appears in the IDP menu. Click Edit to add IDP details.

Step 6: Fill IDP Details

The Manager fills Short-Term Goals, Long-Term Goals, Goal Type, Objectives, Skills, Resources, Measurement, and Weightage.

Step 7: Assign SME (Optional)

Select the checkbox to assign a Subject Matter Expert (SME) and choose the SME from the list.

Step 8: Submit IDP

After completing all details, click Submit to place the employee on IDP.

Step 8: Submit IDP to Employee

Submit the completed IDP so the employee can acknowledge it.

Step 9: Employee Acknowledges IDP

Employee acknowledges the IDP via notification or IDP menu.

Step 10: Employee Updates Progress & Comments

Employee updates progress, adds comments, clicks Post, Save, and Submit.

Step 11: Manager Reviews & Updates Progress

Manager reviews employee progress, edits if needed, adds review comments, then Post, Save, and Submit.

Step 12: Closing the IDP

Once the PIP period is completed, you can choose whether to close the PIP or take further action by selecting Yes/No for “Do you wish to close the PIP?”

If yes is selected, the following options will appear:

A: Close IDP – Completed Successfully

  1. Select this option if the employee has successfully completed the IDP.
  2. Enter final comments.
  3. Click Submit .
  4. The user’s status will be marked as PIP Completed (Final Submission)

B: Close IDP – Completed Partially

 

1. Select this option if the IDP is partially completed.

2. You will be prompted with “Do you wish to extend the IDP?” (Yes/No)

  • If Yes , the IDP will be extended.
  • If No , the status will remain Partially Completed .

3. Enter final comments and click Submit .

C: Close IDP – Failed (Extend Option)

1. Select this option if the IDP is not successfully completed.
2. You will be prompted with “Do you wish to extend the IDP?” (Yes/No)

  • If Yes , the IDP will be extended.
  • If No , the status will remain Failed .

3. Enter final comments and click Submit .
