To simplify this process, uKnowva HRMS allows reporting managers and authorized users to bulk import attendance records directly into the system.

This functionality ensures accuracy, saves administrative time, and keeps payroll processing aligned with actual employee work records.

Whether you need to upload detailed check-in and check-out timings or simply mark employees as present or absent, uKnowva provides two flexible import options within the My Team Attendance section.

This article explains the complete process of importing attendance using both methods in a clear and structured way.

Step 1: Navigate to the My Team Attendance Section

Begin by logging into your uKnowva HRMS instance using your credentials. Once you access the dashboard, go to the left navigation panel and click on the My Team menu.

After opening the Team menu, select the Attendance Report sub-menu.

The system will redirect you to the attendance page, where you can view team attendance data and perform additional actions, including bulk imports.

Step 2: Access the Import Function

Inside the Attendance Report interface, locate the Import button positioned at the top of the attendance list. Click on this button to proceed.

Once selected, the system will display two options for importing attendance data. These options are Import .CSV File and Import Attendance P & A.

Each option serves a different purpose, depending on whether you want to upload detailed working hours or simply mark employees as present or absent.

Step 3: Select the Import .CSV File Option

If you need to upload detailed attendance data that includes working hours, select the Import .CSV File option.

A pop-up window titled Import Users Attendance will appear on the screen.

This option allows you to upload structured attendance data that contains check-in and check-out timings for each employee.

This method is particularly useful when importing attendance data from biometric machines, external systems, or manually maintained records.

Step 4: Download and Prepare the CSV Template

To ensure proper formatting, download the CSV template provided within the pop-up. Using the correct template is important because the system reads specific headers to map attendance data accurately.

The required headers in the file include Username, Date, Start Time, End Time, and Description.

For each row, enter the respective employee’s username, the specific date, their start time (check-in), end time (check-out), and any additional description if required.

Ensure that all entries are accurate and formatted correctly to avoid upload errors.

Step 5: Upload the Prepared CSV File

After preparing the CSV file, return to the Import Users Attendance pop-up. Click on the Upload CSV File button and select the prepared CSV file from your system.

The system will process the file and update attendance records accordingly. This ensures that employee work hours are reflected accurately in the attendance module.

Step 6: Select the Import Attendance P & A Option

If you only need to mark employees as present or absent without entering detailed working hours, choose the Import Attendance P & A option instead.

When selected, a pop-up titled Import Users Attendance Present & Absent will appear.

This method is suitable when attendance tracking is based on daily presence rather than exact check-in and check-out timings.

Step 7: Download and Prepare the Present & Absent Template

Download the template provided within this pop-up to ensure proper formatting. Fill in the required details according to the template structure.

This file typically allows you to mark employees as Present or Absent for specific dates.

Within the pop-up, you will also notice a checkbox labeled Deduct Leaves.

If you enable this option, the system will automatically deduct leave balances for employees marked as absent. This feature helps streamline leave accounting and payroll processing.

Step 8: Upload the Prepared File

Once your file is ready, click on the Choose Your File field and select the completed template from your device.

Then click on the Upload File button to finalize the import.

The system will update attendance records accordingly, ensuring that employee presence data is reflected correctly in reports and payroll calculations.
