Introduction

Managing attendance regularisation requests is an important responsibility for managers and HR approvers to ensure that attendance data stays accurate and fair.

Employees may raise requests to correct missing punches, incorrect timings, or other attendance-related discrepancies.

uKnowva HRMS provides an easy-to-use system for checking, approving, rejecting, or delegating these requests in a transparent and efficient way.

By following the process, approvers can make well-informed decisions while keeping records organised and accessible.

Step 1: Accessing the Attendance Requests Page

To begin checking attendance regularisation requests, go to the side navigation panel and open the Approvals menu. From the list of sub-menus, click on Attendance Requests. This action will open a new page displaying all the pending and past requests in a tabular format.

On this page, each request is listed under specific headers, including Action, User, Status, Created On, and Approver. These headers help you quickly understand the details of the request at a glance. For more detailed insights, you can explore additional options.

Step 2: Viewing Request Details

At the end of each row, you will notice a v-shaped icon.

Clicking on this will expand the request and show detailed information such as Employee Name, Employee Username, Start Time, End Time, Attendance Type, and Description.

This expanded view gives you better clarity about the nature of the request before taking further action.

Step 3: Using the Action Column

Within the Action column, you will see an eye icon.

By clicking on it, a new page opens, displaying all the request details in a structured format. This dedicated page provides a complete overview to help you make an informed decision.

At the top of this page, you will find the Delegate button. Use this option if you wish to assign the responsibility of reviewing and approving this request to another approver.

If you want to take direct action, scroll to the bottom of the page where you will find Accept and Reject buttons.

Choose the relevant action, and if necessary, write a comment in the comment box provided. Adding a reason helps ensure that every decision is transparent and accountable.

Step 4: Managing Requests in Bulk

If you need to approve, reject, or delegate multiple requests simultaneously, uKnowva HRMS allows you to do this efficiently.

On the Attendance Requests page, select the checkboxes on the left side of the rows corresponding to the requests you want to act on.

Once selected, you will see the Accept, Reject, and Delegate buttons appear above the list.

This feature helps save time when handling multiple requests at once.

Step 5: Exporting and Filtering Requests

To maintain records or analyse requests further, you can use the Export button at the top of the page.

Clicking this opens options such as Export and Export Documents, allowing you to download the request data or related documents for offline use.

Additionally, the funnel icon on the page allows you to filter requests.

Clicking this opens a variety of filter options such as Search, From and To Dates, Request Type, Approval Pending From, Requested By, My Status, Status, Level, Approver, Designation, Blood Group, and more. Once you have set the filters, click on the Search button to apply them. If you want to clear the filters and view all requests again, simply click the Reset button.

Conclusion

You’ve now successfully checked attendance regularisation requests in uKnowva HRMS.

By following this process, you can easily view, filter, export, and take action on requests, ensuring every approval or rejection is handled with accuracy and accountability.
