Introduction

Managing who can edit profile information in your organisation is essential for maintaining data accuracy, security, and proper approval workflows.

In uKnowva HRMS, you can allocate edit profile rights to specific user groups, ensuring only authorised individuals have access to make changes.

This feature is particularly useful for organisations with hierarchical structures, where certain edits need approval before being applied.

The following steps will guide you through configuring edit profile rights for different user groups using the Edit Profile Plugin in uKnowva HRMS.

Step 1: Access uKnowva Configuration

Begin by clicking on your profile icon located at the top-right corner of the page. This action will open a drop-down menu containing several options.

From this list, select uKnowva Configuration to enter the system settings where you can manage plugins, permissions, and other configurations.

Step 2: Open Plugin Manager

Once you are in the uKnowva Configuration settings, you will see a list of menu options on the left-hand side of the page.

From here, click on Plugin Manager to access all the available plugins in your system.

If the list is long, you can use the search bar to quickly locate the plugin you want to edit.

Step 3: Locate and Configure the Edit Profile Plugin

In the Plugin Manager, search for Edit Profile Plugin.

When you find it, click on it to open a pop-up configuration window.

Within this window, you will see the Applicable to field, where you can select the specific user group that should have edit profile rights.

If you leave this field blank, the settings will apply to all users by default.

Step 4: Define Access Rights

In the Access Rights section, you can define single or multiple access controls for profile edits.

To add more than one approval matrix, click the + icon.

Within each Access right, you can configure several important settings. In the Select Fields option, choose the specific fields that require approval when a user edits them.

In the Access Type drop-down, you can select who will have the authority to approve the changes. If you choose Superior, all superiors will be able to approve changes. Selecting Immediate Superior will limit approvals to only the direct supervisor.

If you select Selected Users or Selected User Groups, only those specific users or groups will be authorised to approve changes. For advanced needs, you can even select Custom PHP Logic.

Step 5: Remove Access Rights if Needed

If you wish to delete any access right configuration, simply click on the bin icon located at the end of the respective row.

Step 6: Enable Notifications for Users

In the Notify User field, toggle the button to Yes if you want the concerned users to be notified about changes or approvals required for profile edits.

Step 7: Save Your Changes

Once you have finished configuring the settings, click the Save button to apply the changes. If you do not wish to proceed, you can click the Cancel button to discard them.

Conclusion

That’s it!

You’ve now successfully allocated edit profile rights to specific user groups in uKnowva HRMS.

By following this process, you ensure that only authorised individuals can edit profile information, with the right approval workflows in place.
