Introduction
In a growing organization, delegating specific roles and responsibilities to multiple team members helps streamline operations and increase accountability.
uKnowva HRMS allows administrators to assign HR Manager rights to more than one user using the User groups feature.
This process ensures that designated users receive the necessary access and permissions without requiring manual configuration for each individual.
With just a few quick configurations, you can create a custom user group under the HR Manager umbrella and assign multiple users to that group, enabling them to perform all HR-related functions efficiently.
Step 1: Creating a New Subgroup Under the HR Manager
Begin by logging into your uKnowva HRMS instance with admin credentials.
From the top-right corner of your instance, click on your profile icon and choose “uKnowva Configuration”.
Once you're in the configuration panel, go to the left-hand side menu and select “User Groups Manager.”
In the User Groups Manager screen, click on the “Add New Group” button available at the top-right corner.
A pop-up window will open where you can configure your new user group.
In the “Subgroup of” dropdown, select “HR Manager” to ensure the new group inherits the correct permissions.
Enter a relevant title for the group and fill in the description field to help identify its purpose.
Once all the required information is filled in, click on the Save button to create the subgroup.
Step 2: Linking the Subgroup in HRM Lite Configuration
After creating the new subgroup, you must associate it with the HR Manager’s access configuration in the HRM Lite module.
To do this, navigate to the side menu and click on “App Manager.”
In the search bar within App Manager, type and locate “HRM Lite.”
Click on it to open its configuration settings in a pop-up window. Within this window, you will find an option labeled “Select the user groups who will have HR access”.
From the drop-down, select the original “HR Manager” group as well as the new subgroup you just created.
Once selected, click the Save button to confirm the update.
This step ensures that users assigned to this new subgroup will now inherit HR Manager rights within the HRM module.
Step 3: Assigning the Subgroup to Multiple Users
With the subgroup successfully created and linked, the final step is to assign users to this group.
Return to the side menu and click on “User Manager.” A list of users in the system will appear.
Locate the user you want to grant HR Manager rights to and hover over their name.
When the edit icon appears, click on it to open the user’s profile in a pop-up window. In the profile, find the “Role” field.
From the drop-down menu, select the new subgroup that you created under HR Manager.
After selecting the appropriate group, click on the Save button. Repeat this step for all users you want to include under this role.
Conclusion
That’s it!
You’ve now successfully assigned HR Manager rights to multiple users in uKnowva HRMS using the Usergroups feature.
By following this process, you ensure that your team members receive appropriate access rights under a centrally managed group, streamlining role assignments and permission handling.
This setup enhances administrative control, improves team collaboration, and ensures that only authorized users manage sensitive HR functions.
