Succession planning is not just about identifying future leaders; it is also about understanding which business-critical positions are at risk and determining whether potential successors possess the required skills to take over those roles. The Position View and Skill Gap modules in uKnowva HRMS help managers and HR teams monitor position-level succession readiness, evaluate successor coverage, and identify skill gaps that need to be addressed through training and development.
In this tutorial, you will learn how to use the Position View to monitor critical positions, review employees associated with each designation, and access successor details. You will also learn how to use the Skill Gap module to assess employee competencies against their current roles and update proficiency levels to support succession planning decisions.
Step 1: Access the Position View
To begin, open the side navigation panel and click on the Succession Planning menu. From the available options, select Position View.

Alternatively, if you are already on the My Team's Succession page, simply click on the Position View tab.

The Position View page displays all designations within your succession scope that are currently considered at risk. A position may appear here for several reasons, such as employees nearing retirement, active exit requests, designations marked for succession planning, manually included employees, junior reporting rules, or administrator-defined profile rules.

Step 2: Understand the Position View Dashboard
When the page loads, you'll first see several summary cards that provide an overview of your organization's succession readiness.
These include Critical Positions, which shows the number of business-critical roles requiring attention; Positions with Gaps, which indicates positions lacking sufficient successor coverage; Pending Assessments, which displays how many successor assessments are yet to be completed; and Average Coverage, which represents the overall percentage of positions that already have assessed successors.

Below the summary cards, you'll find a table listing all relevant designations.
The table includes details such as Designation, Action, Employees, Risk (Retire/Exit), and Coverage.

The Risk (Retire/Exit) column displays two badges. The first badge represents employees approaching retirement within the configured retirement planning window, while the second badge indicates employees who have active exit requests.

The Coverage column shows the percentage of employees within that designation who already have at least one assessed successor for the default appraisal period. Higher coverage indicates better succession preparedness for that role.
Step 3: Search and Filter Positions
If you want to locate a specific designation, simply enter its name in the search bar and click the Search button.

If you want to remove the applied filters and return to the complete list, click the Reset button.
This allows you to quickly find positions and review succession readiness for specific departments or job roles.
Step 4: View Employees for a Position
To see the employees associated with a particular designation, click the View (Eye) icon available under the Action column.

The system displays all employees currently included in succession planning for that designation.
The table contains information such as Team Member, Department, Reporting Manager, Action, Tenure, Age, Reason, Timeline, Successor Status, and Skill Gap.
You can use the available search and filter options to quickly locate a specific employee within the designation.

If you want to review the successors identified for an employee, simply click the View (Eye) icon again under the Action column for that employee.

This opens the successor list, where you can review and assess potential successors.
Step 5: Add Employees to the Succession List
If an employee should be included in succession planning but is not currently listed, click the Add User(s) button available on the Position View page.
This allows you to manually include employees in the succession process so they can be assessed and managed alongside other at-risk positions.

Step 6: Access the Skill Gap Page
Next, let's explore the Skill Gap module.
You can access it by clicking the Skill Gap tab from within the succession planning interface or by selecting Skill Gap from the Succession Planning menu in the left-side navigation panel.


The Skill Gap page helps managers evaluate whether employees currently possess the required competencies for their existing roles.
The page displays a table containing information such as Team Member, Designation, Action, Department, and Skill Gap.

Step 7: Search for Employees
To locate a specific employee, simply type the employee's name or designation into the search bar.

This makes it easy to focus on individual employees or specific job roles while reviewing competency gaps.
Step 8: View and Update Skill Gap Information
Under the Action column, you may notice either a View (Eye) icon or an Edit (Pencil) icon.

If an employee has not yet been assessed, the View icon is displayed. Clicking it opens the Current Role Skill Gap page.

Here, you'll see the structured skill gap for the employee's current designation.
The list of skills is automatically derived from the employee's current role, ensuring that only relevant competencies are displayed.
For each listed skill, you can update the employee's Current Proficiency level. The Desired Proficiency values are read-only because they are defined according to the role requirements.

The saved proficiency information becomes the employee's default skill profile and is automatically used in succession planning whenever no target-role assessment has been completed.
After updating the required proficiency values, click the Save button.
The system displays a confirmation prompt before saving your changes.

Once the skill gap has been created, the View icon changes to an Edit (Pencil) icon. In future, you can click the Edit icon whenever you need to update the employee's current proficiency levels and save the revised assessment.
