Succession planning is a strategic process that helps organizations identify, assess, and prepare potential successors for critical roles within the company. It ensures business continuity by creating a pipeline of capable employees who can step into key positions when vacancies arise due to retirement, resignation, promotion, or other organizational changes.

uKnowva HRMS simplifies succession planning by providing managers and HR teams with tools to identify at-risk positions, evaluate potential successors, assess employee readiness, and track talent development initiatives.

In this tutorial, you will learn how to access your team's succession planning dashboard, review at-risk employees, analyze succession readiness, filter records, and view potential successors within uKnowva HRMS.

Step 1: Open the My Team's Succession Dashboard

Before using the Succession Planning module, ensure that the Succession Planning extension is installed and configured in your uKnowva HRMS instance. If you have not yet completed the configuration, you can refer to this dedicated setup guide before proceeding.

To begin, navigate to the left-side navigation panel and click on the Succession Planning menu.

From the available options, select My Team's Succession.

This opens the succession planning dashboard that displays employees within your succession planning scope who have been identified as requiring succession attention.

These employees may appear in the dashboard for various reasons, including active exit requests, retirement planning rules, designation-based succession requirements, manual inclusion by administrators, reporting hierarchy rules, or profile-based inclusion criteria configured in the system.

The purpose of this dashboard is to help managers and HR teams proactively identify positions that may require succession planning and begin evaluating replacement readiness before a vacancy occurs.

Step 2: Review Succession Readiness Summary

At the top of the page, you will find a succession readiness summary that provides a quick overview of successor availability across your team.

These statistics help you understand how prepared your organization is for upcoming transitions.

The dashboard displays information such as the number of employees who are assessed as Ready Now, the number of employees who are Likely Ready Within 1 Year, and those who are Likely Ready Within 3–5 Years.

These readiness indicators are generated from succession assessments and help managers quickly identify immediate successors as well as employees who may require additional development before becoming suitable candidates for future roles.

By reviewing these readiness metrics regularly, organizations can identify talent gaps early and create focused development plans for future leaders.

Step 3: Analyze Team Members Listed in the Succession Dashboard

Below the readiness summary, you will find a detailed table containing employees who fall within your succession planning scope.

The table includes important information such as Team Member, Designation, Action, Tenure, Age, Reason, and Timeline.

This information helps managers understand why a particular employee appears in the succession dashboard and how urgently succession planning may be required.

For example, an employee approaching retirement age may display a retirement-related reason, while another employee may appear because of an active exit request. The timeline column further helps managers understand the expected timeframe for potential transitions.

By reviewing these details, managers can prioritize succession activities based on business impact and urgency.

Step 4: Filter and Search Succession Records

As organizations grow, succession planning dashboards may contain a large number of records. To make analysis easier, uKnowva HRMS provides flexible search and filtering options.

You can search for employees by entering the employee name or designation in the search field and clicking the Search button. The system will display only the matching records, making it easier to locate specific employees.

If you wish to clear the applied search criteria, simply click the Reset button to restore the complete list.

You can also filter records based on succession reasons. To do this, click on the Filter icon and select the desired value from the Reason field. 

 

Once selected, click the Search button to view only employees matching the chosen criteria.

In addition to standard filters, administrators and managers can customize available columns and filtering options according to organizational requirements, enabling deeper analysis of succession-related data.

Step 5: View Potential Successors for Team Members

Once you have identified a team member who requires succession planning, you can review potential successors directly from the dashboard.

Locate the employee within the succession table and click on the Eye icon available under the Action column.

This opens the Potential Successors page for the selected employee.

The page displays all eligible successor candidates in a detailed table that helps managers compare employees using various succession planning parameters.

Each row represents a potential successor and includes information such as Candidate, Designation, Action, Tenure, Age, Performance, Skill Match, Skill Gap, and Succession Score.

These metrics provide a comprehensive overview of each candidate's suitability for the target role, helping managers make informed succession decisions.

Step 5: Understand the Succession Metrics

The Performance column displays the employee's performance score derived from previous appraisal data, helping managers evaluate historical performance while selecting successors.

The Skill Match column indicates how well the candidate's existing skills align with the skills required for the target role. It represents the percentage of required role skills that the employee currently possesses at or above the expected proficiency level. A higher skill match percentage indicates that the employee is already well-equipped for the target role and may require less additional training.

The Skill Gap column measures how closely the employee's current proficiency matches the expected proficiency for the target role. This score ranges from 0 to 100, where higher values indicate smaller skill gaps and greater readiness.

The Succession Score provides an overall evaluation of each candidate by combining multiple succession planning factors into a single weighted score.

The succession score is displayed as a visual ring. By hovering over the ring, managers can view the individual values that contributed to the overall score, making the evaluation process transparent and easy to understand.

Step 6: Search and Filter Potential Successors

When multiple successor candidates are available, uKnowva HRMS provides flexible search and filtering capabilities to simplify analysis.

You can search for candidates by entering values such as Candidate Name, Designation, Tenure, Age, Performance, Skill Match, Skill Gap, or Succession Score in the search box.

After entering the desired search value, click the Search button to display matching records.

If you need more refined filtering, click on the Filter (Funnel) icon.

Here, you will find additional filters such as Rating and Nomination.

The Rating filter allows you to display only candidates who have already been assessed through succession ratings, while the Nomination filter allows you to display only employees who have been formally nominated as successors.

These filters help managers quickly identify candidates who have already progressed through the succession planning process.

If you wish to remove all applied filters and return to the complete list of candidates, simply click the Reset button.
