How to Update TDS in Salary in uKnowva HRMS

Introduction

uKnowva HRMS enables HR teams and payroll managers to manage employee compensation with flexibility and accuracy. 

One important component of salary management is updating the Tax Deducted at Source (TDS) amount for employees. 

Keeping TDS information updated is crucial for ensuring proper tax calculations, accurate payslips, and compliance with legal requirements. 

Whether you want to edit an existing TDS entry or add a new one for a particular employee, uKnowva HRMS provides a smooth and efficient interface to handle this process. 

In this article, we will walk you through the steps to update TDS in an employee’s salary using uKnowva HRMS.

Step 1: Access the Payroll Section

To begin the process of updating TDS in uKnowva HRMS, log in to your instance using your credentials. 

Once you're logged in, navigate to the left side navigation panel and click on the HR Manager menu. From the list of available sub-menus, select the Payroll sub-menu and click on it. 

This will take you to a new interface where you can view a list of employees whose payroll details can be managed. 

The table displayed includes headers such as Name, Action, Basic, HRA, Conveyance, Special Allowance, and Travel Allowance.

Step 2: Edit the Employee Details

To edit or update the TDS for a specific employee, locate the employee in the list and click on the pen icon to begin editing their salary structure. 

This opens a detailed salary configuration interface for the selected employee.

Step 3: Update or Add TDS Entry

Within the employee’s salary structure, scroll down to the Deduction section. 

If TDS already exists as a row in this section, you can directly update the Amount field.

Alongside the amount, you also have the option to choose whether the TDS should be shown on the payslip by selecting Yes or No under the “Show in payslip” field. 

You can also decide whether to calculate the TDS on the basis of attendance by selecting the appropriate option under “Calculate attendance basis.”

However, if you do not see TDS listed under the deduction section, click on the plus (+) icon to add a new row. 

From the drop-down menu, select TDS as the deduction type. Once selected, enter the TDS details such as Formula (if applicable) and Amount, and make selections for Show in payslip and Calculate attendance basis as required.

Step 4: Apply Effective Date and Save Changes

If you wish to make these changes effective from a specific date, click on the checkbox

Once enabled, it will show an additional field where you can enter the effective date. This allows the system to apply the new TDS values from the selected date onward. 

Please note that any salary changes will be effective from the first date of the payroll cycle in which the effective date falls.

After you have reviewed and entered all necessary details, click on the Save button to apply the changes. 

If you do not wish to proceed with the update, you can click Cancel to discard the modifications.
