Introduction
Managing investment declarations efficiently is crucial for any organisation, especially during the financial year-end period when employee tax-saving details must be reviewed and finalised.
uKnowva HRMS streamlines this process by providing an easy-to-use import functionality for uploading bulk data related to exemption amounts and declarations.
This feature is particularly useful when handling large datasets that need to be entered quickly and accurately into the system.
Whether you are importing declaration records received from employees offline or processing year-end updates, the import feature saves significant time and effort.
Step 1: Navigating to the Import Interface
If you're not sure how to access the Pending Investment Declarations page, refer to this guide: Accessing and Searching for Pending Investment Declarations in Your uKnowva HRMS Instance.
Once you've accessed the Pending Investment Declarations section from the side navigation panel and arrived on the corresponding page, you will see a list displaying all the pending declarations.
To proceed with importing, click on the View All button situated above the list.
This action will redirect you to the List Employees FY Ending page, where you can access more advanced options for managing declarations.
At the top-right area of this page, you will find the Import button placed above the list of entries.
Clicking this button reveals two important options—Import Exemption Amount and Import Declarations.
Step 2: Importing Exemption Amounts
If you select the Import Exemption Amount option, a pop-up window appears where you will be prompted to download a predefined Import Template File.
This file serves as the format that must be followed while preparing the exemption amount data for upload.
Once you’ve downloaded and populated the template with the correct data, click the Choose Your File or Browse button within the pop-up window to select the file from your system.
After selecting the correct file, click the Upload File button to upload and update the exemption amounts directly in the uKnowva HRMS system.
This ensures the exemption values reflect the latest inputs and employee-submitted records in one streamlined action.
Step 3: Importing Declarations
To import actual investment declarations, choose the Import Declarations option from the same Import menu.
A pop-up window will open, prompting you to first select the appropriate Financial Year and the Investment Type for which you are importing data.
This step helps categorise the declarations correctly. Like the exemption process, you will also be provided with an Import Template File here, which must be used to organise your data as per the system’s standard format.
Once your declaration data is entered into the template, click on the Choose Your File or Browse button to select the file, followed by the Upload File button to complete the process.
The system will then automatically upload the declarations, adding them to the list of pending records for review and approval.
Conclusion
That’s it!
You’ve now successfully imported pending investment declarations to uKnowva HRMS.
By following this process, you ensure that all employee-submitted data, whether for exemptions or investment declarations, is accurately uploaded and available for review.
This system simplifies bulk data handling and supports compliance with tax declaration procedures, making HR operations more efficient and reliable.
